DentGather GmbH[REGISTERED ADDRESS]Switzerland[CHE / UID][PRIVACY EMAIL]

If you are located in the EU/EEA, our EU representative will be listed here before EU/EEA launch:

[EU REPRESENTATIVE — TO BE APPOINTED BEFORE EU/EEA LAUNCH][ADDRESS][EMAIL]

This Privacy Notice explains what personal data we process, why we process it, who may receive it, how long we keep it, and the rights available to you.

DentGather V1 is intended only for persons aged 18 or older.

2. Scope

This notice covers:

  • account and authentication
  • Dentist and Dental Student profiles
  • professional and student verification
  • Stripe Identity, where used
  • Membership and billing
  • Travel, Discover and Maps
  • Connections and Chat

3. Personal data we process

Account and authentication

Email address; internal user ID; authentication and login information; account status; interface language and timezone; security and authentication logs; confirmation that you are 18 or older. We do not require your date of birth merely to record V1 18+ eligibility.

Dentist profile

Name; profile photo; professional role; title or headline; About / professional introduction; practice or professional organization shown on the profile; professional focus and interests; spoken languages; city, country and other permitted professional discovery context.

Visibility depends on Membership, role, privacy and permission rules. Private contact information is not automatically made available to other users.

Dental Student profile

Name; profile photo; role as Dental Student; dental school or university; study city and country; expected graduation information; professional interests; spoken languages; About / professional introduction; relevant Travel information where used. Student profiles must not imply licensed Dentist status.

Language information

Interface language and spoken professional languages are separate settings.

Dentist and Student verification

Dentist verification may process professional qualification, registration or licensure evidence, verification status, timestamps, reviewer decisions and reasons and, where appropriate, comparison with official or public registers.

Student verification may process enrolment evidence, verification status, review information, expiry and re-verification information.

Verification documents are private and are not displayed to other users.

DentGather-hosted professional and student verification evidence is scheduled for permanent deletion 24 hours after the verification review is completed. Limited result and audit data may remain where necessary for platform integrity, fraud prevention, disputes or legal accountability.

DentGather verification confirms only the checks actually carried out and does not itself certify worldwide authorization to practise, good standing, specialist status or recognition, clinical competence or professional fitness.

Stripe Identity

Where used as additional identity assurance, Stripe may process identity-document images, selfie or video, extracted name and date of birth, document identifiers, IP and device data, fraud signals and, where the configured method uses biometric matching, biometric identifiers.

Stripe Identity is separate from DentGather professional verification.

DentGather intends to retain only minimum verification result, status and audit data — not copies of identity documents, selfies or biometric data merely because Stripe processes them.

Stripe may process some data for its own legal, security, fraud-prevention and service purposes under its own privacy terms.

4. Why we process data

We process personal data to deliver accounts and the service; operate profiles; verify eligibility; manage Membership and entitlements; process eligible payments; provide Travel and Discover; enable Connections and Chat; organize Professional Exchanges and Student Observerships, Network Dinners, General Meetups and Events; operate Organizer and Sponsored features; maintain Passport and Certificates; run Referrals; send service, activity and security notifications; prevent fraud and abuse; enforce our Terms and Guidelines; handle reports, disputes and appeals; meet legal and accounting obligations; and handle rights requests and account deletion.

Data collected for one purpose is not automatically available for every other purpose.

Participation in networking, Travel, Events or Sponsored Experiences is not automatic consent to unrelated advertising or external marketing.

Switzerland

We process personal data in accordance with the Swiss data protection principles of lawfulness and good faith, proportionality and data minimisation, purpose limitation, transparency, accuracy, privacy by design and by default, and appropriate data security.

EU/EEA

Where the GDPR applies, we rely on the following legal bases:

  • Art. 6(1)(b) GDPR — performance of a contract and provision of the service;
  • Art. 6(1)(c) GDPR — compliance with a legal obligation;
  • Art. 6(1)(f) GDPR — legitimate interests in security, fraud prevention, platform integrity, enforcement and dispute handling;
  • Art. 6(1)(a) GDPR — consent, only where processing is genuinely optional.

Browser or device geolocation permission is a technical permission, not blanket consent to advertising or marketing.

5. Travel, Discover and Maps

Travel Windows may include city, region, country, dates, normalized place and location information, internal geographic coordinates where needed for matching, and Travel visibility.

Creating a Travel Window does not automatically make it visible. Travel visibility and Nearby visibility are separate controls.

Current Location is requested only after an explicit user action. Precise Current Location is transient and session-based. It is not written to your profile, Travel records, browser local storage or analytics; it is not used to create movement history; it is not shown to other users as exact private or residential coordinates; and there is no background tracking.

Discover may use professional role, profile, interests, languages, city, Travel, search radius, visibility settings, Membership or Student permissions and blocks to provide relevant and authorized results. Blocking is always respected.

Use of Travel, Discover, Maps or Current Location is not consent to advertising. Personal Travel Windows and precise Current Location are not used for user-level Sponsored or Campaign advertising targeting under the current product. We do not build movement-history advertising profiles and we do not sell precise location history to Sponsors or Organizers.

A materially different future location-targeting purpose would require a separate product and privacy assessment before activation.

6. Maps and geocoding — Mapbox

DentGather uses Mapbox to support city search, geocoding, reverse geocoding and map functionality.

Depending on the feature, Mapbox may receive location search terms, the geographic coordinates required for the requested function, your IP address and technical device and request information.

DentGather limits the information sent to Mapbox to what is necessary for the requested location function.

Precise Current Location is not used by DentGather to create movement history or for advertising targeting.

7. Membership, billing and payments

If you purchase a Membership or an eligible Organizer or commercial product, DentGather may process: product or plan; entitlement status and source; billing period; purchase, renewal, cancellation and expiry data; Stripe customer and payment-provider identifiers; billing address; tax or VAT information where needed; amount, currency and payment status; invoices and receipts; and refunds, disputes and chargebacks.

Stripe handles eligible payment processing. Full payment-card credentials are not intended to be stored directly by DentGather.

DentGather may retain Stripe transaction, subscription and payment-status references needed to operate the service and maintain financial records.

Complimentary Founder and Referral entitlements may use entitlement type, dates, the eligibility event, reward and grant history and audit information. Complimentary access does not itself authorize charges.

9. Connections and Chat

Connection records may include the users involved, status, timestamps, introductory message, acceptance or decline, connection status and blocks or restrictions.

There is no unrestricted cold direct messaging. Chat is only available when the relevant Connection or activity relationship permits it.

Chat data may include participants, message text, timestamps, delivery or read state where implemented, conversation type, the related Connection or activity, and moderation or report references.

Standard Chat is not a patient-record transfer system. Users should not send identifiable patient records, radiographs, clinical photos or other identifiable patient health information.

If image attachments are activated, data may include the image, file type and size, upload timestamp, storage reference, malware and security scan information and the conversation association. The intended attachment model is images and photos only, up to 10 MB each. Image attachments may remain disabled until the required production malware and security controls are operational.

Private Chat is not public. Authorized personnel may access relevant Chat information only where necessary for report investigation, abuse or fraud prevention, disputes, legal obligations or platform security, limited to the specific case.

  • Routine Chat text is retained for 12 months after the conversation is permanently archived or read-only, or after the relevant account-deletion lifecycle, subject to exceptions.
  • Routine Chat images, where image attachments are active, are retained for 90 days after archive or read-only status.
  • Evidence specifically preserved for a moderation, fraud, dispute or legal case may follow the applicable case retention instead.

10. Professional Exchanges and Student Observerships

Where you use Professional Exchange or Student Observership features, DentGather may process information such as:

  • Host and Guest or Student identities;
  • eligibility and verification status;
  • Membership or Student Access status where relevant;
  • requested and confirmed dates;
  • activity type;
  • Host practice or location information;
  • request, acceptance, decline, cancellation and completion status;
  • activity-related messages;
  • attendance or completion confirmation;
  • acknowledgements required for the activity;
  • disputes, reports or support records connected with the activity.

10.1 Professional Exchanges

Professional Exchanges are professional learning and networking activities between eligible users.

DentGather may process the information necessary to:

  • allow a Host to offer an Exchange;
  • allow an eligible Guest to submit a request;
  • determine whether the relevant users meet the applicable eligibility requirements;
  • manage acceptance, cancellation and completion;
  • provide authorized activity Chat;
  • create eligible Passport or Certificate records where applicable;
  • investigate disputes or reports.

DentGather does not treat participation in a Professional Exchange as authorization for a Guest to perform regulated clinical treatment.

For an Advanced Clinical Exchange, the current DentGather model does not permit the Guest to treat patients through DentGather.

10.2 Student Observerships

Student Observerships are intended for observation and learning only.

DentGather may process:

  • Student Verification status;
  • Host eligibility;
  • the Host's Student-participation setting;
  • requested dates;
  • acceptance and participation status;
  • activity messages;
  • attendance confirmation;
  • related Passport or eligible private Certificate records.

A Dental Student does not independently treat patients through a DentGather Student Observership.

10.3 Patient and clinical information

Professional Exchange and Student Observership features are not intended to create a DentGather patient record.

Hosts and participants remain responsible for complying with applicable:

  • patient confidentiality requirements;
  • patient-consent requirements;
  • professional rules;
  • supervision requirements;
  • local practice requirements.

Users should not place unnecessary patient-identifiable information into DentGather activity records or Chat.

Where a separate clinical Case/X-ray feature would involve patient data, that feature remains subject to its separate privacy, de-identification, security and legal review.

11. Network Dinners and General Dentist Meetups

DentGather may process personal data where you create, request to join or participate in an eligible professional networking activity.

This may include:

  • Host identity;
  • participant identity;
  • activity date and location;
  • participant capacity and availability;
  • request, approval or waitlist status;
  • Student eligibility where Student participation is enabled;
  • attendance confirmation;
  • activity Chat participation;
  • cancellation information;
  • Passport and eligible private Certificate records;
  • reports, moderation or dispute information connected with the activity.

11.1 Network Dinners

Waitlist status does not itself establish attendance.

DentGather uses the applicable authoritative attendance-confirmation process before creating attendance-based Passport or Certificate records.

11.2 General Dentist Meetups

Where Student participation is expressly permitted, eligible verified Dental Students may participate according to the applicable Student Access rules.

DentGather may process participation and attendance information for:

  • activity administration;
  • authorized group Chat;
  • safety and moderation;
  • eligible Passport history;
  • eligible private participation Certificates.

Registration, joining a waitlist or expressing interest does not by itself prove attendance.

11.3 Activity safety and reports

Where necessary, DentGather may process relevant activity and participant information to:

  • respond to safety concerns;
  • investigate misconduct;
  • enforce Community Guidelines;
  • resolve disputes;
  • preserve evidence where required.

Access to such information should be limited to the specific case and authorized personnel.

12. Events, Organizers and Sponsored Experiences

12.1 External Events

DentGather may display professional Events organized by third parties.

For Event discovery and interaction, we may process information such as:

  • Event views or saves;
  • “I'm attending” or similar participation indicators where available;
  • Event location and dates;
  • Event-category or professional-interest relevance;
  • links followed to an external Event page;
  • attendance-verification information where an approved verification method exists.

Unless expressly stated otherwise, an external Event is organized by a third party and registration may take place outside DentGather.

Saving an Event or indicating that you plan to attend does not by itself prove actual attendance.

Ordinary external Event attendance does not automatically generate a DentGather Certificate.

12.2 Organizer accounts

Where a company or other eligible organization applies for or uses an Organizer account, DentGather may process:

  • organization name;
  • business contact information;
  • authorized account users;
  • verification or approval information;
  • billing and subscription information;
  • Event and sponsored-activity submissions;
  • administrative communications;
  • payment and invoice records;
  • moderation or compliance records.

Organizer account information is separate from Dentist profile information and does not grant unrestricted access to private Dentist data.

12.3 Sponsored Experiences

Where you participate in an eligible Sponsored Experience, DentGather may process the information necessary to administer that activity, including:

  • participant identity;
  • eligibility status;
  • approval or waitlist status;
  • activity attendance;
  • group Chat participation;
  • activity-related reports or support records.

Sponsored Experiences must be identified in the product using an appropriate sponsorship or promotional label.

Participation in a Sponsored Experience does not automatically:

  • disclose your private email address to the Sponsor;
  • disclose your private phone number to the Sponsor;
  • create an exportable Sponsor marketing list;
  • grant unrestricted direct-message access;
  • constitute consent to external marketing.

Organizer or Sponsor access to participant information is limited to what is permitted for the relevant DentGather activity and product functionality.

12.4 Campaigns and paid visibility

Where an Event-linked Campaign or other currently approved paid visibility feature is activated, DentGather may process information required to:

  • display the Campaign;
  • identify it as Sponsored, Promoted, Featured or otherwise commercial;
  • determine eligible placement;
  • measure permitted Campaign performance;
  • prevent fraud or invalid activity;
  • provide agreed reporting to the Organizer or Sponsor.

Current DentGather Sponsor products do not include the sale of member personal data.

DentGather does not provide Sponsors with unrestricted access to private contact information or general member marketing lists.

Any materially different future advertising or targeting use requires separate product, privacy and legal assessment before activation.

13. Passport and Certificates

DentGather may create authoritative professional activity records based on eligible confirmed DentGather activities.

Passport data may include:

  • activity type;
  • source activity;
  • date;
  • location context;
  • title or subtitle;
  • participation or hosting role;
  • the source record used to confirm the activity.

New Passport activities are private by default.

Where DentGather provides the relevant visibility control, you may choose whether an eligible Passport entry appears in a limited profile preview.

Passport source facts are intended to reflect authoritative activity records and may not be freely editable where doing so would undermine the integrity of the record.

If you believe a Passport record is inaccurate, you may request review and correction.

13.1 Certificates

DentGather may create private Certificates for eligible DentGather activities where the applicable product rules provide for them.

Certificate data may include:

  • Certificate owner;
  • source activity;
  • activity type;
  • participation or hosting role;
  • issue date;
  • activity date;
  • organization, practice or venue information where applicable;
  • location information relevant to the activity.

DentGather Certificates are private and owner-only inside DentGather unless the user independently downloads or shares a Certificate outside the platform.

A DentGather Certificate confirms only the DentGather activity stated on the Certificate.

It does not constitute:

  • CE or CPD accreditation;
  • professional licensure;
  • specialist recognition;
  • proof of clinical competence;
  • authorization to practise dentistry.

DentGather does not currently issue a DentGather Certificate merely because a user indicates attendance at an ordinary external Event.

14. Referrals

Where you participate in an eligible DentGather Referral program, we may process:

  • referral code or link;
  • referrer account;
  • referred-account linkage;
  • registration attribution;
  • qualification or conversion status;
  • reward status;
  • reward dates;
  • invalidation or correction information;
  • fraud and anti-abuse indicators.

DentGather uses a first-party referral attribution period of 30 days.

DentGather does not use device fingerprinting to attribute Referrals.

Referral information may be retained where necessary to:

  • determine whether a reward has been earned;
  • prevent duplicate or abusive referrals;
  • correct erroneous reward attribution;
  • resolve disputes;
  • maintain an auditable reward history.

Referral participation does not automatically create consent to unrelated marketing.

15. Notifications

DentGather may process information required to provide account, security, service and activity notifications.

This may include:

  • recipient account;
  • notification type;
  • related user, activity or entity;
  • localized message data;
  • read or unread status;
  • notification preferences where available.

The current DentGather baseline is in-app service and activity notifications.

DentGather does not treat use of service notifications as automatic permission to send promotional email or newsletters.

Where optional communication channels or marketing communications are introduced, they will be assessed separately and appropriate preference, consent or opt-out mechanisms will be implemented where required.

Ordinary in-app notification records are generally retained for a limited period because the authoritative activity state is stored in the relevant underlying DentGather record.

16. Moderation, reports, disputes and fraud prevention

DentGather may process personal data where users report content, conduct or another account, or where a dispute, fraud concern or platform-safety issue arises.

This may include:

  • report information;
  • report reason;
  • description or supporting information;
  • evidence references;
  • relevant Chat or activity references;
  • dispute information;
  • moderation decisions;
  • warnings;
  • restrictions;
  • temporary or permanent suspension information;
  • appeals or review requests;
  • fraud or risk indicators;
  • Admin notes;
  • audit events.

An ordinary user report does not automatically suspend another user.

DentGather may use automated indicators to identify activity that may require investigation, but significant adverse account decisions are not intended to be imposed solely through a hidden automated risk score without appropriate human review.

Access to moderation, dispute and fraud information is restricted to authorized persons who need the information for the relevant case.

DentGather may preserve specific evidence longer than ordinary content where necessary for:

  • a live report;
  • dispute resolution;
  • fraud investigation;
  • legal claims;
  • regulatory obligations;
  • a documented legal hold.

17. Security and administrative data

DentGather may process technical and administrative information necessary to secure and operate the platform, including:

  • authentication records;
  • security logs;
  • IP address and device/security metadata where necessary;
  • privileged-access records;
  • Admin action logs;
  • system-integrity information;
  • security-event information;
  • incident and breach records.

DentGather uses technical and organizational safeguards designed to protect personal data, including:

  • server-side authorization;
  • Row Level Security;
  • private storage for sensitive files;
  • role-based privileged access;
  • MFA/AAL2 for privileged production accounts;
  • Admin and access audit logging;
  • data minimization;
  • restricted verification-document retention;
  • incident-response procedures;
  • feature gates for higher-risk functionality.

No technical system can guarantee absolute security.

Where a personal-data breach occurs, DentGather assesses the incident and notifies competent authorities and affected individuals where required by applicable law.

18. Who we share personal data with

DentGather does not make all user information available to every other user.

Personal data may be disclosed only where relevant to the applicable purpose, for example to:

  • eligible DentGather users under profile, Discover, activity or Chat permissions;
  • Hosts or participants where necessary to administer an activity;
  • approved Organizers where necessary to operate an Organizer Event or Sponsored Experience;
  • service providers supporting DentGather;
  • professional advisers where necessary;
  • public authorities where legally required.

Current key service providers include:

  • Supabase — database, authentication, storage and backend infrastructure;
  • Stripe — payment, billing and certain identity-verification services;
  • Mapbox — maps and geocoding functionality;
  • Lovable — application-development and technical platform services, subject to restricted handling of personal data.

DentGather does not provide Lovable with government ID copies, biometric data or patient health data through routine development or support workflows.

Additional service providers are added to production only after appropriate privacy and security review.

DentGather does not sell private member contact lists to Sponsors or Organizers.

19. International data transfers

DentGather is intended to be operated by a Swiss company and supports an international professional network.

As a result, personal data may be processed or disclosed across borders, including:

  • between Switzerland and the EU/EEA;
  • from Switzerland or the EU/EEA to service providers in other countries;
  • through international member-to-member interaction where you choose to participate in DentGather's global networking features.

Where required, DentGather uses an applicable legal transfer mechanism, such as:

  • a recognized adequacy decision;
  • an applicable data-privacy framework for an eligible certified recipient;
  • approved standard contractual clauses;
  • another legally permitted safeguard or exception.

A service provider's primary hosting region does not necessarily mean that all support, security, telemetry or subprocessor activity takes place only in that country.

DentGather therefore assesses both primary storage and relevant onward processing when reviewing international transfers.

Information about key providers and transfer safeguards will be maintained as part of DentGather's privacy and service-provider documentation.

20. How long we keep personal data

DentGather retains identifiable personal data only for as long as necessary for the relevant purpose, unless a legal obligation, dispute, fraud or safety need, legal claim or documented legal hold requires longer restricted retention.

Current retention rules include, where applicable:

  • DentGather-hosted Dentist and Student verification evidence: 24 hours after completed verification review;
  • precise Current Location: session-only and not persistently stored;
  • ordinary in-app Notifications: generally 90 days;
  • routine Chat images, where activated: generally 90 days after permanent archive/read-only;
  • routine Chat text: generally 12 months after permanent archive/read-only or the relevant account-deletion lifecycle;
  • security and authentication logs controlled by DentGather: generally 12 months;
  • moderation, dispute, enforcement and preserved case records: generally 3 years after case closure;
  • privacy-rights request records: generally 3 years after completion;
  • referral attribution browser record: 30 days;
  • accounting and qualifying transaction records: generally 10 years where required by applicable Swiss accounting law.

Different records may follow a different retention period where necessary because they form part of:

  • financial records;
  • authoritative activity history;
  • a legal claim;
  • a fraud investigation;
  • a regulatory obligation;
  • a valid legal hold.

Backups expire according to the documented backup lifecycle. Personal data that has been deleted from the active system should not be restored into ordinary production use after a recovery except where necessary to restore system integrity and reapply the deletion state.

20.1 Account deletion

You may request deletion of your DentGather account through the available account or privacy process.

When account deletion becomes effective, DentGather aims to:

  • remove the account from ordinary profile, Discover, Travel and member visibility promptly;
  • stop future service processing that is no longer necessary;
  • complete relevant subscription or account-closure handling;
  • delete or anonymize ordinary live account data within the applicable deletion workflow;
  • retain only records that remain justified by law, financial obligations, disputes, fraud prevention, authoritative activity integrity or legal holds.

Deleting your account does not necessarily erase another person's legitimate record of an activity in which both of you participated.

Where possible, your information will be minimized or anonymized in such records.

21. Your privacy rights

Depending on the law that applies to you, you may have rights including:

  • information and transparency;
  • access to your personal data;
  • correction of inaccurate data;
  • deletion or destruction;
  • restriction of processing;
  • objection to certain processing;
  • data portability where the legal conditions are met;
  • withdrawal of consent where processing is based on consent;
  • information and human review where a qualifying automated individual decision is used;
  • complaint to a competent data-protection authority.

Some DentGather records cannot be freely overwritten from the frontend because they represent authoritative records, including:

  • verification results;
  • confirmed attendance;
  • Passport source facts;
  • Certificates;
  • payment, refund and chargeback facts;
  • moderation decisions and audit records;
  • referral qualification and reward facts.

You may still challenge inaccurate information.

DentGather may correct, annotate, reverse or otherwise rectify an authoritative record after reviewing the relevant source information.

To exercise your privacy rights, contact:

[PRIVACY EMAIL]

We may need to verify your identity before fulfilling a request. We aim to use a proportionate verification method and not request an identity-document copy where a less intrusive method is sufficient.

DentGather's operational target is to respond to privacy-rights requests within 30 calendar days.

Where the GDPR applies, requests are handled within the applicable statutory timeframe, including any lawful extension.

22. Automated processing

DentGather may use automated rules to:

  • enforce account-role and Membership permissions;
  • rank or filter Discover results;
  • identify unusual activity for security or fraud review;
  • prevent duplicate or abusive Referrals;
  • route reports or content for human review.

DentGather does not currently use solely automated processing to impose significant adverse account decisions through a hidden automated fraud score.

If DentGather introduces automated decisions that produce legal or similarly significant effects, we will implement the additional transparency, safeguards and rights required by applicable law before activation.

23. Cookies, local storage and similar technologies

DentGather may use technologies that are necessary to:

  • authenticate users;
  • maintain platform security;
  • keep the service functioning;
  • remember necessary preferences;
  • maintain limited first-party Referral attribution for up to 30 days.

The current production baseline does not include non-essential advertising or marketing tracking.

If optional analytics, advertising or marketing technologies are introduced, DentGather will complete the required privacy, vendor and consent review before activation.

Further information is provided in the DentGather Cookie & Tracking section of Legal & Privacy.

24. Patient data

DentGather is a professional networking and learning platform.

Standard DentGather profiles, Chat and activity features are not intended to function as a patient-record transfer system.

Do not upload or send through standard DentGather features:

  • patient names;
  • patient identifiers;
  • patient medical records;
  • identifiable radiographs;
  • identifiable clinical photographs;
  • other identifiable patient health information.

Case/X-ray functionality remains disabled until the required privacy, technical, de-identification and professional-confidentiality safeguards have been completed and approved.

25. Changes to this Privacy Notice

DentGather may update this Privacy Notice where, for example:

  • the product changes;
  • a new service provider is added;
  • a new processing purpose is introduced;
  • applicable law changes;
  • DentGather's corporate or international structure changes.

The current version and effective date will be identified in the Privacy Notice.

Where a change materially affects how personal data are used, DentGather will provide additional notice where required by applicable law.

26. Contact and complaints

For privacy questions or requests:

[EU REPRESENTATIVE — TO BE APPOINTED BEFORE EU/EEA LAUNCH]

You may also have the right to contact the competent data-protection authority.

Where the GDPR applies, you may have the right to lodge a complaint with a competent EU/EEA supervisory authority.

These Terms of Service (“Terms”) govern your access to and use of DentGather, including the DentGather website, web application and the features made available through them.

The DentGather platform is operated by:

DentGather GmbH[REGISTERED ADDRESS]Switzerland[CHE / UID][LEGAL / SUPPORT EMAIL]

By creating an account or otherwise accepting these Terms through the DentGather interface, you agree to these Terms.

If you do not agree to these Terms, do not create or use a DentGather account.

Certain products and activities are also governed by additional terms, including where applicable:

Where additional terms specifically govern a product or activity, those specific terms apply to that product or activity together with these Terms.

If there is a conflict concerning that specific product or activity, the more specific terms govern, subject to mandatory law.

2. Eligibility

2.1 Dentist and Dental Student accounts

DentGather V1 is available only to persons aged 18 or older.

To create or use a Dentist or Dental Student account, you must:

  • be at least 18 years old;
  • have legal capacity to enter into these Terms;
  • provide accurate account information;
  • use your account for legitimate professional or educational purposes consistent with DentGather.

DentGather does not operate a parental-consent or minor-account system in V1.

2.2 Dentist status

Features reserved for Dentists may require successful DentGather Dentist Verification.

DentGather Verification reflects only the checks actually carried out by DentGather.

It does not by itself certify:

  • current authorization to practise dentistry in every jurisdiction;
  • professional good standing;
  • specialist status or recognition;
  • clinical competence;
  • fitness to practise;
  • entitlement to perform a particular clinical procedure.

You remain responsible for complying with the professional licensing, registration, title and practice requirements that apply to you.

2.3 Dental Student status

Dental Student Access may require successful verification of current enrolment or immatriculation and periodic re-verification.

A verified Dental Student is not treated as a verified Dentist.

Student Access does not grant an independent right to practise dentistry or treat patients.

2.4 Organizer and company accounts

If you use DentGather on behalf of a company, Event Organizer or other organization, you represent that you are authorized to act for that organization.

Organizer access is separate from Dentist Membership and is subject to the applicable Organizer Terms and approval requirements.

3. Your account

You are responsible for:

  • providing accurate and current information;
  • keeping your login credentials confidential;
  • using reasonable security measures;
  • promptly notifying DentGather if you believe your account has been compromised;
  • ensuring that activities carried out through your account are authorized by you.

You must not:

  • share a personal account in a way that defeats individual accountability;
  • transfer or sell your account;
  • impersonate another person;
  • create a false or misleading professional identity;
  • attempt to obtain roles, Membership, Verification status or permissions that you are not entitled to receive.

DentGather may require additional verification where reasonably necessary for:

  • account security;
  • professional eligibility;
  • fraud prevention;
  • platform integrity;
  • legal or compliance requirements.

4. Professional nature of the platform

DentGather is a professional networking and learning platform.

DentGather does not:

  • employ Dentists or Dental Students merely because they use the platform;
  • operate a dental practice on behalf of Hosts or members;
  • authorize a person to practise dentistry;
  • grant professional licences;
  • certify clinical competence;
  • determine whether a clinical act is lawful in a particular country;
  • provide medical or dental treatment to patients through the platform;
  • provide professional liability, accident, travel, medical or other participant insurance unless expressly stated in a separate written product term.

DentGather may facilitate:

  • professional introductions;
  • networking;
  • professional-learning activities;
  • Professional Exchanges;
  • Student Observerships;
  • Network Dinners and Meetups;
  • Events and other eligible activities.

Each user remains responsible for complying with their own legal, professional, regulatory, licensing, insurance and confidentiality obligations.

5. Membership and feature access

DentGather currently distinguishes between:

  • Dentist Free;
  • Dentist Member;
  • separate verified Dental Student Access;
  • separate Organizer access.

The features available to you depend on factors including:

  • account type;
  • Membership or Student Access status;
  • Dentist or Student Verification status;
  • activity status;
  • Travel and visibility settings;
  • feature-specific eligibility rules;
  • legal or security feature gates;
  • temporary safety, fraud or moderation restrictions.

A paid or complimentary Member entitlement does not replace Dentist Verification where Verification is separately required.

Organizer Membership does not create Dentist Member rights.

Current Dentist Membership pricing, billing, renewal, cancellation and other subscription rules are governed by the Membership / Subscription Terms and the information presented through the relevant checkout or entitlement flow.

The availability of a feature does not override a separate legal, regulatory or security gate that applies to that feature.

7. Connections and professional messaging

DentGather uses permission-based professional networking.

Standard private Connection Chat is available only where the applicable Connection or activity relationship permits it.

You must not use DentGather to:

  • send unsolicited bulk messages;
  • harass or repeatedly contact someone after they have declined or blocked contact;
  • circumvent Connection or blocking controls;
  • scrape or extract private member contact information;
  • use professional networking permissions as a pretext for unrelated spam or prohibited marketing.

Blocking is intended to prevent relevant bidirectional discovery and contact according to the applicable product rules.

8. Chat and attachments

DentGather Chat is intended for professional communication between authorized participants.

Standard DentGather Chat is not a patient-record transfer system.

You must not use standard Chat to send:

  • patient names;
  • patient identification numbers;
  • patient medical records;
  • identifiable radiographs;
  • identifiable clinical photographs;
  • other identifiable patient health information.

Where Chat image attachments are activated, the current product permits supported images or photos only, with a maximum file size of 10 MB per file.

PDF, Office and other document attachments are not part of the current Chat product.

DentGather may keep image attachments disabled until the required malware-scanning and file-security controls are operational. Text Chat may remain available.

DentGather does not currently provide sender-visible read receipts.

Voice messages, voice calling and video calling are not part of the current Chat product.

9. Professional Exchanges

DentGather may allow eligible verified Member Dentists to request or host Professional Exchanges.

A Professional Exchange is a professional learning and networking activity.

It is not:

  • an employment placement;
  • a patient referral service;
  • authorization for the Guest to practise dentistry;
  • authorization for the Guest to perform regulated clinical treatment.

The Host practice determines the permitted learning experience, subject to applicable law.

9.1 Advanced Clinical Exchange

In an Advanced Clinical Exchange:

  • the Guest does not treat patients through DentGather;
  • the Guest may observe specialized procedures or surgery;
  • the Guest may participate in non-treatment learning or workflow activities, such as diagnostic discussion, treatment planning or digital setup, where permitted by the Host and applicable law.

The Host remains responsible for patient care and for practice-side requirements.

9.2 Host responsibilities

The Host is responsible for ensuring that the Exchange may lawfully take place at the Host practice.

This may include compliance with applicable:

  • professional rules;
  • patient privacy and confidentiality obligations;
  • patient-consent requirements;
  • supervision requirements;
  • infection-control and practice requirements;
  • insurance requirements.

9.3 Guest responsibilities

The Guest is responsible for:

  • complying with Host practice rules;
  • maintaining any insurance coverage required by applicable law and appropriate for their participation;
  • complying with confidentiality and patient-related instructions;
  • not exceeding the role permitted by the Host and applicable law.

DentGather does not provide participant professional-liability, accident, medical or travel insurance unless expressly stated otherwise in a separate written product term.

Detailed booking, cancellation, rescheduling, completion and dispute rules are governed by the Professional Exchange Terms.

10. Student Observerships

A Student Observership is for observation and learning only.

Dental Students:

  • may participate only where active Student Access and the relevant Host setting permit it;
  • may not independently treat patients through DentGather;
  • may not host standard Dentist Professional Exchanges;

The Host practice remains responsible for applicable local requirements concerning:

  • patients;
  • confidentiality;
  • consent;
  • supervision;
  • professional conduct;
  • practice operations.

Additional Student-specific rules are governed by the Dental Student Terms.

11. Network Dinners and General Dentist Meetups

DentGather may facilitate professional networking activities including Network Dinners and General Dentist Meetups.

Participation, Host approval, waitlist and attendance rules are governed by the relevant activity rules and product-specific terms.

Current principles include:

  • these activities are professional networking activities, not clinical services;
  • Student participation is available only where the activity explicitly permits Student Access;
  • Dental Students do not host ordinary Dentist Network Dinners or General Dentist Meetups;
  • attendance records are created only through the applicable authoritative confirmation process;
  • registration, request or waitlist status alone does not prove attendance.

DentGather does not guarantee:

  • that an activity will occur;
  • that any particular participant will attend;
  • compatibility between participants;
  • business opportunities;
  • employment;
  • patient referrals;
  • clinical outcomes.

Hosts and participants remain responsible for their own:

  • travel;
  • personal safety;
  • costs;
  • conduct;

unless a specific product term expressly states otherwise.

12. External Events

DentGather may list professional Events organized by third parties.

Unless DentGather expressly states that it is itself selling or organizing a particular Event:

  • the Event is organized by a third party;
  • registration may take place on an external website;
  • the third-party Organizer's own terms may apply;
  • DentGather does not control the Organizer's delivery of the Event.

Saving an Event or selecting “I'm attending” does not prove that you actually attended.

Reliably verified attendance at an external Event may be eligible for a DentGather Passport entry where DentGather provides an approved verification mechanism.

DentGather does not issue a DentGather Certificate merely for ordinary external Event attendance.

13. Organizers, Sponsors and Sponsored Experiences

Approved Organizers may publish eligible Events and purchase eligible commercial products in accordance with the Organizer Terms.

Sponsored content or experiences may be identified using labels such as:

  • Sponsored;
  • Promoted;
  • Featured;
  • Hosted by [Company].

Organizer or Sponsor status does not grant unrestricted access to private Dentist data.

Participation in a Sponsored Experience does not automatically:

  • disclose your private email address or phone number to the Sponsor;
  • create an exportable Sponsor marketing list;
  • give the Sponsor unrestricted direct-message rights;
  • constitute consent to external marketing.

Organizer and Sponsor rights are governed by the applicable Organizer Terms and Sponsor / Campaign Terms.

14. Travel, Discover and Maps

DentGather may allow you to create Travel Windows or use a nearby-discovery function.

Travel visibility and Nearby visibility are separate controls.

Under the current product design:

  • Travel Windows are voluntarily created by you;
  • new Travel visibility is privacy-restrictive by default;
  • Current Location is requested only when you actively use the relevant function;
  • precise Current Location is intended to be used only for the current request or session;
  • precise Current Location is not intended to be stored in your DentGather profile, Travel record, local storage or analytics;
  • other members are not shown your exact private or residential coordinates;
  • blocking applies to relevant professional discovery.

Your decision to become visible for professional Travel or Map networking does not constitute consent to advertising or Sponsor targeting based on your Travel data.

DentGather does not currently use personal Travel Windows or Current Location for Sponsored or Campaign advertising targeting.

You are responsible for considering your own personal safety before making Travel information visible.

15. Passport and Certificates

DentGather Passport is a private professional activity history based on eligible authoritative DentGather records.

New Passport activities are private by default.

Where the product permits it, you may choose whether an eligible Passport entry appears in a limited profile preview.

Passport records may not be freely edited where they represent authoritative activity facts.

If you believe a Passport record is inaccurate, you may request review.

Eligible DentGather activities may generate a private Certificate for the owner in accordance with the applicable activity rules.

A DentGather Certificate:

  • confirms only the activity shown;
  • is not CE or CPD accreditation;
  • does not award regulatory education points;
  • does not prove professional licensure;
  • does not prove specialist qualification;
  • does not certify clinical competence;
  • does not authorize a person to practise dentistry.

Certificates are owner-only inside DentGather.

The owner may independently download and share a copy outside DentGather.

16. User content and intellectual property

16.1 Your ownership

As between you and DentGather, you retain the intellectual-property rights that you hold in content you submit to DentGather.

You are responsible for ensuring that you have the rights and permissions necessary to upload and share that content.

16.2 Licence to DentGather

You grant DentGather a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, technically format, display and transmit your content only to the extent reasonably necessary to:

  • operate and provide DentGather;
  • display content according to your settings and applicable product permissions;
  • secure and maintain the platform;
  • moderate content;
  • respond to reports or disputes;
  • comply with legal obligations;
  • preserve specifically required evidence.

This licence does not give DentGather a general right to reuse your content in external marketing or advertising.

DentGather will not use your user content for external DentGather marketing or advertising without separate permission where such permission is required.

16.3 Prohibited content

You must not submit content that:

  • you do not have the right to use;
  • infringes copyright, trademark, privacy or other rights;
  • is illegal;
  • is fraudulent or deliberately misleading;
  • unlawfully discloses confidential information;
  • contains prohibited patient-identifiable information;
  • contains malicious code or files;
  • is intended to harass, threaten or exploit another person.

17. Case / X-ray content

Case/X-ray Cards are not currently approved for production activation.

If DentGather later activates this feature, additional requirements will apply.

The intended model includes:

  • patient-identifiable information is prohibited;
  • uploads enter a private Pending Review state;
  • uploader de-identification confirmation is required;
  • applicable metadata and security checks are performed;
  • authorized Admin review is required;
  • publication is never automatic.

Removing a visible patient name does not necessarily make clinical material anonymous.

DentGather may reject or delete material that is identifiable, insufficiently anonymized or otherwise inappropriate.

Activation of Case/X-ray content remains subject to DentGather's separate privacy, technical and professional-confidentiality review.

18. Community conduct

You must use DentGather professionally and respectfully.

You must not:

  • harass, threaten, intimidate or discriminate against other users;
  • impersonate another person or organization;
  • misrepresent professional qualifications;
  • manipulate Verification, attendance or Certificates;
  • engage in fraud or abuse of Referrals, Membership or activity systems;
  • submit false reports or abuse complaint mechanisms;
  • evade suspension, restrictions or blocking;
  • scrape, reverse engineer or systematically extract member data except where mandatory law gives you a non-waivable right;
  • introduce malware or interfere with platform security;
  • use DentGather for illegal activity;
  • use private member data for unauthorized marketing;
  • attempt to re-identify a patient from anonymized clinical material;
  • use DentGather to arrange unauthorized clinical treatment.

Detailed behavioral rules may also be set out in the Community Guidelines.

19. Reports, moderation and enforcement

Users may report content, accounts or activities where DentGather provides a reporting function.

An ordinary report does not automatically suspend the reported user.

DentGather may review reported or detected conduct using:

  • human review;
  • system rules that identify content or behavior for review;
  • security and fraud indicators;
  • records from the relevant platform activity.

Risk indicators are intended to support human review and are not intended to impose significant adverse account decisions solely through a hidden automated score.

Depending on the seriousness and repetition of a violation, DentGather may use measures including:

1. warning;

2. temporary feature restriction;

3. temporary account suspension;

4. permanent suspension for serious or repeated violations.

For an acute safety or fraud risk, DentGather may impose an immediate provisional restriction or suspension while the matter is reviewed.

DentGather aims to apply restrictions proportionately based on the information reasonably available.

Where a significant enforcement decision is eligible for review, DentGather provides an appeal or review channel.

Nothing in these Terms requires DentGather to keep content available where doing so would violate applicable law or create an immediate security or safety risk.

20. Illegal content and intellectual-property notices

If you believe content on DentGather:

  • is illegal;
  • infringes your intellectual-property rights;
  • violates these Terms; or
  • violates applicable Community Guidelines,

you may use the available reporting or contact mechanism.

DentGather may request sufficient information to identify:

  • the content concerned;
  • the legal or contractual basis of the complaint;
  • your contact details where required;
  • supporting information reasonably necessary to assess the notice.

DentGather may restrict or remove content where required by law or where the content violates applicable platform rules.

21. Automated and ranking systems

DentGather may use automated rules or ranking logic to:

  • enforce Membership and role permissions;
  • filter Discover results;
  • apply visibility and blocking settings;
  • identify possible fraud or abuse for human review;
  • prevent duplicate rewards or transactions;
  • determine which eligible professional content is shown in a particular product context.

DentGather does not guarantee:

  • a particular ranking;
  • a particular level of visibility;
  • a particular number of views;
  • a particular number of Connections;
  • a particular activity response.

Paid visibility, where offered, must be clearly identified according to the applicable commercial product rules.

DentGather does not currently use solely automated systems to impose significant adverse account decisions without appropriate human review.

22. Third-party services and links

DentGather may integrate with or link to third-party services, including services used for:

  • payments;
  • identity verification;
  • maps and geocoding;
  • external Event registration;
  • other technical or operational functions.

Third-party services may have their own terms and privacy policies.

DentGather is not responsible for a third party's independent acts or services to the extent permitted by applicable law.

Use of Stripe Payments or Stripe Identity is also subject to applicable Stripe terms and privacy information.

External Event registration may be governed by the relevant Event Organizer's own terms.

23. Fees, billing and taxes

Where a DentGather product is paid:

  • the applicable price and billing period are shown before purchase;
  • applicable renewal and cancellation rules are shown or incorporated through the relevant specific terms;
  • applicable taxes may be charged or accounted for as required by law;
  • payment is processed using the available payment provider.

DentGather will provide legally required information about the contracting party, order and payment before paid production launch.

Paid Dentist Membership and paid Organizer Membership are governed by separate product-specific terms.

Commercial Campaigns, Featured Events and Sponsored Experiences are governed by the applicable Organizer and Sponsor / Campaign Terms.

24. No guaranteed professional, educational or commercial result

DentGather does not guarantee that use of the platform will result in:

  • a Connection;
  • an accepted Professional Exchange;
  • an activity booking;
  • employment;
  • business revenue;
  • patient referrals;
  • clinical improvement;
  • professional recognition;
  • licensure;
  • accreditation;
  • CE or CPD recognition;
  • any particular number of impressions, views, attendees or registration-link clicks.

Professional-learning and networking activities are not a substitute for your own:

  • professional judgment;
  • licensing obligations;
  • training requirements;
  • insurance requirements;
  • local law.

25. Availability and feature gating

DentGather may have features that are:

  • available only to specific account types;
  • dependent on Verification or Membership;
  • available only where required technical security controls are active;
  • unavailable while a legal or regulatory review remains incomplete;
  • unavailable in a jurisdiction where the feature has not yet been approved for launch.

A feature shown as unavailable or disabled must not be bypassed.

Currently gated areas may include:

  • Case/X-ray Cards pending privacy, de-identification, technical and professional-confidentiality review;
  • Chat image attachments until required malware-scanning and file-security controls are operational;
  • user-level Travel or Current Location advertising targeting pending separate review.

The presence of code, database fields or interface structures for a feature does not mean that the feature is legally or commercially activated.

26. Account deletion and termination

26.1 Deletion by you

You may request account deletion through the available account or privacy process.

Account deletion affects:

  • platform access;
  • profile visibility;
  • future service processing;
  • data handling;

in accordance with the Privacy Notice and applicable product-specific terms.

Certain information may need to remain for purposes including:

  • accounting;
  • legal obligations;
  • fraud prevention;
  • disputes;
  • safety;
  • legal claims;
  • another participant's legitimate activity record.

Deleting your account does not necessarily delete another user's legitimate record of a shared activity.

26.2 Suspension or termination by DentGather

DentGather may restrict or suspend access in accordance with Section 19 where, for example:

  • you violate these Terms or applicable specific terms;
  • there is a serious safety or fraud concern;
  • your account is not eligible for the claimed role;
  • your account is used to evade an earlier restriction;
  • continued access would violate applicable law or a binding authority order.

Where appropriate, DentGather may provide a reason and an appeal or review route.

26.3 Effect on paid products

Cancellation, refund and remaining paid access are governed by the applicable:

Account deletion is not automatically the same thing as cancelling a subscription.

27. Disclaimers

To the extent permitted by applicable law:

  • DentGather is provided on an “as available” basis;
  • DentGather does not guarantee uninterrupted or error-free operation;
  • information provided by users may be incomplete, outdated or inaccurate;
  • Verification may reduce certain platform risks but is not a guarantee of professional conduct or competence;
  • DentGather does not guarantee the quality, safety, legality or outcome of an interaction between users;
  • DentGather is not responsible for a Host's clinical care or a user's independent professional decisions merely because the parties met through DentGather;
  • third-party Events and external services remain subject to the control of their respective operators.

Nothing in these Terms excludes:

  • statutory warranties;
  • mandatory consumer rights;
  • other rights that cannot lawfully be excluded.

28. Liability

Each party remains responsible for its own acts and omissions under applicable law.

To the maximum extent permitted by applicable law, DentGather excludes liability for indirect, incidental, consequential or purely economic losses arising from:

  • interactions between users;
  • Professional Exchanges;
  • Student Observerships;
  • Network Dinners or Meetups;
  • third-party Events;
  • travel;
  • professional or clinical decisions;
  • information provided by other users;
  • acts or omissions of Dentists, Dental Students, Hosts, Guests, Organizers, Sponsors or other third parties.

DentGather is not liable merely because two or more persons connected, communicated, met or participated in an activity through DentGather.

In particular, DentGather is not responsible for:

  • clinical treatment provided by a Dentist or Host;
  • patient injury caused by another user or third party;
  • whether a user is legally authorized to practise in a particular jurisdiction;
  • compliance by a Host or Guest with professional, licensing, patient-consent, confidentiality, supervision, infection-control, immigration or insurance requirements;
  • the cancellation, modification or delivery of a third-party Event;
  • travel incidents, accommodation, transport, visa or immigration outcomes;
  • professional opinions or information provided by another user;
  • a user's independent professional or clinical decisions;
  • failure of a networking interaction to produce an expected professional, educational or commercial result.

DentGather does not exclude or limit liability where exclusion or limitation is prohibited by mandatory law.

Nothing in these Terms is intended to exclude or limit liability for intentional or grossly negligent conduct where such exclusion or limitation would be invalid, or to restrict any mandatory consumer or other non-waivable statutory remedy.

No monetary liability cap is currently included in these Terms.

29. Changes to the service or these Terms

DentGather may update these Terms where reasonably necessary to reflect:

  • legal or regulatory requirements;
  • security requirements;
  • product changes;
  • new or changed features;
  • changes to the contracting entity;
  • changes to relevant service providers;
  • clarification of existing rules.

DentGather will make the current version and effective date available through the platform.

Where required by applicable law, DentGather will provide advance or other appropriate notice of material changes.

Changes do not remove mandatory rights that already apply to a completed transaction.

A material change that requires renewed acceptance will not be treated as accepted merely because a user previously accepted an earlier version where applicable law requires more.

30. Governing law, disputes and contact

These Terms are governed by Swiss law, without prejudice to mandatory rights and conflict-of-law rules that apply to you.

Before starting formal proceedings, you may contact DentGather at:

[LEGAL / SUPPORT EMAIL]

To the extent legally permitted, disputes are subject to the courts at the registered seat of DentGather GmbH in Switzerland.

If mandatory:

  • consumer law;
  • professional law;
  • civil-procedure rules;
  • international-jurisdiction rules;

give you a different forum or non-waivable rights, those mandatory rules prevail.

Nothing in these Terms prevents either party from seeking urgent interim relief where legally available.

Cookie & Tracking Policy

Last updated: 28 September 2026

Contents

1. About this Policy

This Cookie & Tracking Policy explains how DentGather uses or may use:

  • cookies;
  • browser/local storage;
  • authentication storage;
  • similar device technologies;
  • first-party referral attribution;
  • analytics or advertising technologies if later activated.

It supplements the DentGather Privacy Notice.

Current product baseline:

DentGather does not currently rely on non-essential advertising or marketing tracking as part of the default production design.

Optional non-essential analytics/marketing technologies must remain disabled until the applicable privacy, cookie-consent and vendor review is completed.

2. What cookies and similar technologies are

Cookies are small data items stored or accessed on a user's device.

Similar technologies may include:

  • local storage;
  • session storage;
  • pixels;
  • SDK identifiers;
  • device/browser identifiers;
  • authentication storage;
  • other technologies capable of recognizing a device or storing/retrieving information from it.

DentGather applies the same purpose-based privacy approach to equivalent technologies rather than treating only files named “cookies” as relevant.

DentGather does not use device fingerprinting for Referral attribution.

3. Current categories

3.1 Strictly necessary / essential technologies

DentGather may use essential technologies to:

  • authenticate a user;
  • maintain a secure session;
  • prevent unauthorized access;
  • preserve security state;
  • perform load/session integrity functions;
  • remember essential settings needed to provide the requested service;
  • maintain consent/preference state where a preference system is required.

These technologies are necessary for the requested service or security.

They are not used as a disguised basis for unrelated advertising.

3.2 Functional preferences

DentGather may store limited preferences such as:

  • interface language;
  • necessary usability settings;
  • privacy/visibility preferences where technically appropriate.

Functional storage must remain proportionate.

A functional preference must not silently enable advertising tracking.

3.3 Referral attribution

Where a person follows a valid DentGather Referral Link/Code, DentGather may use a first-party attribution mechanism for up to 30 days.

Purpose:

  • remember the canonical Referrer;
  • attribute later qualification/conversion correctly;
  • prevent duplicate/fraudulent reward issuance.

DentGather does not use device fingerprinting for Referral attribution.

After successful registration, the canonical Referrer may be stored in the DentGather account/backend according to the Referral rules rather than depending indefinitely on browser storage.

3.4 Analytics

Current status: not active as a non-essential default.

If DentGather later activates optional analytics, DentGather must first determine:

  • whether device storage/access requires consent;
  • whether the analytics is strictly necessary or optional;
  • provider role;
  • data categories;
  • country/transfers;
  • retention;
  • whether cross-site/cross-app tracking occurs;
  • whether analytics is linked to Member profiles;
  • required preference/CMP controls.

Optional analytics must not be activated merely because a vendor SDK is technically available.

3.5 Advertising / marketing tracking

Current status: not active.

DentGather does not currently use non-essential marketing cookies or tracking pixels as part of the approved production baseline.

Before activation of any such technology, DentGather must implement:

  • lawful-basis analysis;
  • applicable prior consent;
  • clear purpose/category disclosure;
  • reject/refuse option where required;
  • withdrawal controls;
  • vendor/transfer review;
  • retention;
  • updated Privacy Notice and this Policy.

Personal Travel/current-location networking settings are not marketing consent.

4. Current Location is not a tracking cookie

When you explicitly ask DentGather to use Current Location:

  • your browser/device may provide precise coordinates;
  • DentGather uses the coordinates transiently for the requested nearby function;
  • the precise Current Location is not intended to be stored in local storage;
  • it is not intended to be stored in your Travel history;
  • it is not intended to be stored in analytics;
  • it is not intended to create a movement history.

Browser geolocation permission is separate from cookie/marketing consent.

5. Switzerland baseline

DentGather applies Swiss FADP requirements to cookies and similar technologies.

Swiss privacy analysis depends on the actual technology, purpose, transparency, proportionality, privacy settings and whether consent is legally required for the processing.

DentGather therefore does not use a simplistic rule that every cookie requires consent or that no tracking ever requires consent.

Current DentGather approach:

  • essential technologies may operate as necessary to provide/security the service;
  • users receive appropriate transparency;
  • intrusive profiling/marketing tracking remains off until separately reviewed;
  • privacy-protective defaults are used;
  • where valid consent is required, the technology remains inactive until consent.

6. EU/EEA baseline

For EU/EEA users, storing or accessing information on a user's device generally requires the applicable ePrivacy consent unless the technology falls within the relevant exemption, such as storage/access strictly necessary to provide a service explicitly requested by the user.

Therefore:

  • non-essential tracking must not run before the required consent;
  • consent-dependent categories default OFF;
  • silence/inactivity is not opt-in;
  • pre-ticked consent is not used;
  • withdrawal must be possible;
  • rejection must not be intentionally hidden through misleading design.

National ePrivacy implementation must be checked as part of each EU launch market.

7. Consent-management design if optional tracking is introduced

If DentGather needs a CMP/banner for non-essential technologies, the design should include:

First layer

  • concise explanation;
  • Accept optional cookies;
  • Reject optional cookies or equivalent;
  • Settings.

Accept and reject must be presented without deceptive visual pressure.

Settings

At minimum where applicable:

  • Necessary — always active;
  • Functional — explain whether necessary/optional;
  • Analytics — OFF until consent where required;
  • Marketing — OFF until consent;
  • Save choices.

The exact categories must match the technologies actually deployed.

Do not show categories that do not exist merely to imitate a standard banner.

8. Consent evidence

Where DentGather relies on tracking consent, record enough evidence to demonstrate:

  • policy/banner version;
  • selected categories;
  • timestamp;
  • withdrawal/change;
  • relevant first-party consent identifier.

Do not retain unnecessary browsing history merely to prove consent.

The current Retention Schedule proposes compliance preference evidence for up to 3 years after replacement/withdrawal, subject to final implementation review.

9. Withdrawing or changing choices

Where optional tracking is active, users must be able to revisit their privacy/cookie choices through a persistent and reasonably accessible setting.

Withdrawal should stop future consent-dependent tracking.

Withdrawal does not invalidate processing that was lawful before withdrawal.

10. Browser controls

Users may also use browser/device settings to delete or block storage.

Blocking necessary technologies may prevent authentication or other requested service functions from working correctly.

11. Third-party technologies

No third-party analytics, ad or social-tracking integration is approved merely because it is technically convenient.

Before a third-party technology is activated, DentGather records it in:

12. No fingerprinting

DentGather does not use device fingerprinting for current Referral attribution.

Any future fingerprinting or similarly covert identification technology would require a new privacy/legal assessment before implementation.

13. No sponsor access through cookies

Sponsor/Organizer participation does not allow a Sponsor to place unrestricted third-party tracking technology inside:

  • private Dentist Profiles;
  • private Chat;
  • Passport.

Campaign measurement must follow the approved Campaign/privacy architecture.

14. Technical Cookie / Storage Register

The actual cookie and storage technologies used by DentGather, and their identifiers, are documented based on DentGather's live technical configuration.

Where applicable, DentGather will make available and update a register describing, for each technology, its provider, whether it is first- or third-party, its purpose and category, whether it is session-based or persistent, its expiry, and whether consent is required.

This register may be shown as an identifier table in this Policy or through a link to a dynamically maintained cookie list.

15. Current launch position

Switzerland

Current necessary-only baseline is subject to:

  • final technical cookie/storage scan;
  • accurate disclosure;
  • no activation of optional tracking without review.

EU/EEA

Current necessary-only baseline is subject to:

  • final technical scan;
  • national ePrivacy check;
  • no non-essential technology before required consent.

There is no reason to activate a generic “Accept all” tracking banner merely to create the appearance of compliance if DentGather is not actually using optional cookies.

If optional analytics/marketing technology is introduced, a compliant consent layer will be required before that technology is used.

Community Guidelines

Last updated: 28 September 2026

Contents

1. Purpose

DentGather is a professional networking and learning community for dentists and verified dental students.

These Community Guidelines are intended to support:

  • professional and respectful communication;
  • trustworthy professional identities;
  • safe professional networking;
  • legitimate learning and peer exchange;
  • appropriate handling of patient confidentiality;
  • fair use of Membership, Referrals and activity systems;
  • transparent Organizer and Sponsored activity.

These Guidelines supplement the DentGather Terms of Service.

2. Professional identity and honesty

You must represent yourself accurately.

You must not:

  • impersonate another person or organization;
  • create a deliberately misleading professional identity;
  • falsely claim Dentist, Student, specialist or other professional status;
  • falsify professional qualification or enrolment evidence;
  • manipulate or forge verification information;
  • misrepresent Attendance, Passport or Certificate records;
  • claim that DentGather Verification means more than DentGather actually checked.

A DentGather verification badge does not itself prove worldwide licensure, good standing, specialist recognition or clinical competence.

3. Respectful professional conduct

Treat other members professionally.

Do not:

  • harass;
  • threaten;
  • intimidate;
  • bully;
  • stalk;
  • repeatedly contact a person after they decline or block you;
  • use discriminatory abuse or hateful attacks;
  • sexually harass another user;
  • exploit another person's professional, Student or Organizer status;
  • organize coordinated harassment.

Professional disagreement and critical discussion are permitted when expressed lawfully and respectfully.

4. Connections, Chat and unwanted contact

DentGather uses permission-based professional networking.

Do not:

  • send unsolicited bulk messages;
  • use connection requests primarily as spam;
  • circumvent a block;
  • create another account to contact someone who blocked you;
  • scrape member information for outreach;
  • use activity group Chat to build unauthorized marketing lists;
  • use Organizer access to obtain unrestricted Dentist messaging rights.

A connection request should be genuine professional contact, not automated solicitation.

5. Patient confidentiality and health information

Standard DentGather is not a patient-record transfer system.

Do not upload or send through standard DentGather features:

  • patient names;
  • patient identification numbers;
  • identifiable medical records;
  • identifiable radiographs;
  • identifiable clinical photographs;
  • other identifiable patient health information.

This applies particularly to:

  • standard Chat;
  • profile content;
  • Practice/People/Poll Cards;
  • Event/Meetup/Dinner content;
  • Organizer/Sponsor content.

Case/X-ray Cards are separately gated and remain disabled until DentGather's Case/X-ray privacy and de-identification requirements are approved.

If Case/X-ray is later activated, attempting to re-identify a patient from anonymized material is prohibited.

6. Professional Exchanges and Observerships

Do not use DentGather Exchanges or Observerships to arrange unauthorized patient treatment.

For Advanced Clinical Exchange:

  • the Guest may observe specialized procedures or surgery;
  • the Guest may participate in permitted non-treatment learning activities;
  • the Guest must not independently treat patients through DentGather.

For Student Observership:

  • the Student observes and learns;
  • the Student does not independently treat patients.

Hosts and participants must comply with local professional, patient-consent, confidentiality, supervision, practice and insurance requirements.

7. Fraud and platform manipulation

Do not manipulate DentGather systems.

Prohibited conduct includes:

  • chargeback abuse;
  • manipulating cancellations or no-show outcomes;
  • circumventing a Finance Review hold;
  • creating false attendance confirmations;
  • fabricating Referral qualification or conversions;
  • self-referral or duplicate Referral abuse;
  • creating fake accounts to obtain rewards;
  • attempting to self-grant Membership, Verification, Student Access, Organizer rights or privileged roles.

DentGather may review suspicious activity before resolving an entitlement or reward.

8. Events, Organizers and sponsored content

Organizers and Sponsors must accurately identify sponsored or promoted activity.

Do not:

  • conceal commercial sponsorship;
  • falsely imply DentGather endorsement;
  • make misleading Event claims;
  • publish an Event you are not authorized to represent;
  • use participant activity as automatic marketing consent;
  • export private participant contact details without a lawful and product-authorized basis;
  • use DentGather Campaigns for a product or purpose not included in the current Event-linked Campaign model.

Sponsored, Promoted and Featured labels must not be obscured.

9. Illegal, dangerous or harmful content

You must not use DentGather to facilitate unlawful conduct.

DentGather may restrict or remove content that is unlawful or that seriously violates platform safety rules.

Examples can include:

  • credible threats;
  • fraud;
  • unlawful disclosure of confidential information;
  • malicious software;
  • illegal discrimination;
  • unlawful professional activity;
  • unlawful advertising;
  • content that infringes intellectual-property rights;
  • content that violates patient confidentiality.

This list is illustrative and does not redefine local criminal or civil law.

10. Intellectual property

Only upload content that you have the right to use.

Do not knowingly infringe:

  • copyright;
  • trademarks;
  • database rights;
  • confidential information;
  • other intellectual-property or proprietary rights.

Users retain rights in their own content subject to the limited platform licence in the Terms of Service.

DentGather does not receive a general licence to reuse user content in external marketing merely because it was uploaded to the platform.

11. Security and platform integrity

Do not:

  • introduce malware;
  • attempt unauthorized access;
  • probe or exploit security vulnerabilities without authorization;
  • circumvent server permissions;
  • interfere with platform availability;
  • extract protected database content;
  • misuse API or backend functions;
  • share privileged Admin credentials;
  • attempt to bypass a feature gate.

Security issues should be reported to DentGather through the designated contact channel.

12. Certificates, Passport and professional recognition

Do not misrepresent DentGather records.

DentGather Passport and Certificates may confirm eligible DentGather activity.

They do not by themselves establish:

  • CE/CPD accreditation;
  • regulatory education points;
  • licensure;
  • specialist status;
  • professional competence.

Do not alter a DentGather Certificate in a misleading way.

13. Reporting concerns

If you believe content or conduct violates these Guidelines, the Terms or applicable law, use the available report function or DentGather contact route.

Provide accurate information.

Do not knowingly submit false or abusive reports.

Submitting a report does not automatically suspend the reported user.

14. Enforcement

Depending on severity and context, DentGather may use:

  • 1. warning;
  • 2. temporary feature restriction;
  • 3. temporary Account Suspension;
  • 4. permanent Suspension for serious or repeated violations.

For an acute safety, fraud, underage-account or patient-data risk, DentGather may impose a provisional restriction or suspension while human review takes place.

Significant enforcement decisions may be eligible for appeal/review under the Moderation Rules.

Moderation Rules

Last updated: 28 September 2026

Contents

1. How moderation works

DentGather may review:

  • user reports;
  • content reports;
  • account activity;
  • security/fraud indicators;
  • activity disputes;
  • evidence associated with Exchanges, Dinners, Meetups or Referrals;
  • content identified for review through platform controls.

A report or automated signal is not, by itself, a finding that a user violated the rules.

Significant adverse enforcement is subject to human review.

DentGather does not currently use a hidden automated fraud score to impose significant adverse account decisions without human review.

2. Possible moderation outcomes

Depending on the circumstances, DentGather may:

  • take no action;
  • give a warning;
  • remove or restrict content;
  • restrict a specific feature;
  • temporarily suspend the account;
  • permanently suspend the account;
  • restore previously restricted access;
  • preserve specific evidence where necessary for a dispute, safety case or legal obligation.

DentGather aims to choose a measure that is proportionate to the conduct and available evidence.

3. Immediate provisional action

DentGather may take immediate provisional action where reasonably necessary to address an acute risk, including:

  • credible safety threats;
  • suspected fraud;
  • account compromise;
  • suspected underage use of an 18+ account;
  • serious patient-confidentiality exposure;
  • material security abuse.

A provisional action is not necessarily the final outcome.

The matter should proceed to human review.

4. Reports do not automatically suspend users

An ordinary member report does not automatically:

  • remove a user;
  • suspend the user;
  • remove professional verification;
  • impose a financial penalty.

Reports are inputs into a review process.

5. Reasons

Where appropriate and legally permissible, DentGather provides the affected user with information about a significant enforcement measure, which may include:

  • type of measure;
  • general reason or reason code;
  • effective date;
  • duration where temporary;
  • appeal/review availability.

DentGather may limit details where disclosure would create a security risk, expose another person's protected information, undermine an investigation or violate law.

6. Appeals / review

Where an eligible significant enforcement decision provides an appeal/review route, the affected user may ask DentGather to review that decision.

The appeal should explain why the user believes the decision is incorrect and may include relevant supporting information.

Appeal/review is performed by an authorized human reviewer.

DentGather may uphold, modify or reverse the decision.

The current product provides one appeal per relevant moderation measure unless a different process is required by applicable law.

7. Blocking versus moderation

Blocking is a user safety/privacy control.

A block is not the same thing as a DentGather moderation finding.

DentGather may separately investigate reported conduct even where users have already blocked each other.

8. Activity disputes

No-show, attendance or Exchange disputes may be reviewed through their specialized activity workflows.

Moderation and financial/activity resolution are related but distinct.

For example:

9. Illegal-content notices

DentGather may provide an electronic route to report content believed to be illegal.

A useful notice should identify:

  • the specific content;
  • why the reporter believes it is illegal;
  • sufficient location/reference information to find it;
  • supporting information reasonably available;
  • reporter contact information where legally required.

DentGather may distinguish:

  • alleged illegality;
  • violation of DentGather Terms/Guidelines;
  • intellectual-property complaint;
  • safety/fraud report.

EU-specific notice-and-action processes will be implemented to the extent required by the Digital Services Act following final service classification.

10. Intellectual-property complaints

A rights holder may report allegedly infringing content.

DentGather may request:

  • identification of the protected work/right;
  • identification of the allegedly infringing content;
  • basis of the claim;
  • contact information;
  • evidence of authority to act for the rights holder.

DentGather may restrict or remove content where required by law or platform rules.

Membership / Subscription Terms

Last updated: 28 September 2026

Contents

1. Scope

These Membership / Subscription Terms govern paid and complimentary Dentist Member entitlements on DentGather.

They supplement the DentGather Terms of Service.

They do not govern:

  • Dental Student Access;
  • Organizer Membership;
  • Sponsored products;
  • Campaigns;
  • Professional Exchange booking rules except where Membership eligibility is relevant.

Where these Terms conflict with the general Terms of Service on a Membership-specific issue, these Membership / Subscription Terms govern that issue, subject to mandatory law.

2. Membership levels

DentGather has exactly two active standard Dentist Membership levels:

Free — CHF 0

Member — CHF 29 per month or CHF 319 per year

DentGather does not currently offer a separate active Pro Membership.

Any historical “Pro” record is legacy compatibility only and provides Member-equivalent rights where applicable.

3. What Membership controls

Membership determines whether a Dentist may access Member-only DentGather functions.

A Member entitlement does not replace Dentist Verification where Verification is separately required.

Depending on the current product permissions, Member access may include eligible use of:

  • full allowed Dentist profiles;
  • standard professional Discover / Map / Travel functionality;
  • Connection requests;
  • authorized networking Chat;
  • Professional Exchange functionality where the Dentist is also Verified;
  • Network Dinner and General Dentist Meetup functionality;
  • Passport and eligible Certificates;
  • other Member-only features shown in the product.

The exact feature set is governed by the current DentGather product permissions and may be subject to feature-specific legal or security gates.

4. Sources of Member entitlement

A Dentist may have a valid Member entitlement from different sources, including:

  • paid Member subscription;
  • Founder complimentary Member time;
  • Dentist Referral reward time;
  • post-graduation Student Referral reward time.

A valid Member entitlement gives the same Member feature rights regardless of source.

Complimentary Member time is an internal DentGather entitlement and does not, by itself, authorize DentGather to charge the user.

5. Paid Member subscription

5.1 Monthly subscription

A paid monthly Member subscription is billed at:

CHF 29 per billing month

unless a different legally valid price is clearly presented and accepted before purchase following a future product change.

5.2 Annual subscription

A paid annual Member subscription is billed at:

CHF 319 per billing year

unless a different legally valid price is clearly presented and accepted before purchase following a future product change.

5.3 Taxes

The amount payable, including any taxes that DentGather is required to charge or display, will be shown before purchase.

DentGather does not state in these Terms that the listed CHF price is tax-inclusive in every jurisdiction unless the checkout specifically confirms that treatment.

6. Automatic renewal

A paid Member subscription renews automatically at the end of the applicable monthly or annual billing period until cancelled.

Before purchase, DentGather will display the applicable:

  • price;
  • billing period;
  • renewal structure;
  • cancellation information;
  • contracting entity;
  • relevant Terms.

A complimentary Founder or Referral entitlement does not automatically convert into a paid subscription when it ends.

DentGather may charge a paid renewal only where the user has actually entered into and accepted the applicable paid subscription and billing arrangement.

7. Cancellation

You may cancel a paid Member subscription at any time using the available billing/account controls or another cancellation route provided by DentGather.

Unless mandatory law requires otherwise:

  • cancellation stops future renewal;
  • your paid Member access continues until the end of the already-paid billing period;
  • cancellation does not normally create a prorated refund for the unused remainder of that paid period.

After the paid entitlement ends, your account becomes Free unless another valid Member entitlement is active.

Cancellation of a paid subscription does not delete your DentGather account.

8. Refunds

Except where mandatory law applies, DentGather's general Membership rule is:

Paid Membership fees are not prorated merely because the user cancels before the end of an already-paid billing period.

DentGather may provide a refund or correction where appropriate, including:

  • a payment or billing error;
  • a duplicate or incorrect charge;
  • a legally required refund;
  • a DentGather-approved exception.

Nothing in these Terms removes a mandatory consumer right that legally applies to a particular purchaser.

9. Switzerland — withdrawal rights

Swiss law does not provide a general statutory withdrawal right for ordinary internet purchases.

Accordingly, for a subscription purchased under Swiss law, no general 14-day withdrawal right is created by these Terms unless:

  • mandatory law provides one for the specific transaction; or
  • DentGather expressly offers one at checkout.

This does not affect the cancellation and refund rules stated above.

10. EU/EEA consumers

DentGather is designed primarily for professional use. However, a natural person may still qualify as a consumer under applicable EU/EEA law depending on the purpose of the transaction.

If you legally qualify as an EU/EEA consumer:

  • mandatory pre-contract information applies;
  • a distance-contract withdrawal right may apply;
  • under the EU Consumer Rights Directive, the ordinary withdrawal period for a service contract is generally 14 days from conclusion of the contract, subject to statutory exceptions and national implementation;
  • if you expressly request that the service begins during the withdrawal period and later exercise a valid withdrawal right, applicable law may permit a proportionate charge for service already supplied.

DentGather will provide any legally required withdrawal information or process at checkout before launching paid consumer subscriptions in the relevant EU/EEA market.

Mandatory local consumer law prevails over any conflicting clause in these Terms.

11. Founder entitlement

The first 1,000 eligible verified Dentists under the applicable Founder rules receive:

  • a permanent Founder number;
  • a permanent Founder badge;
  • exactly 12 months of Member access at CHF 0.

The Founder entitlement does not include:

  • a permanent price discount;
  • a lifetime price lock;
  • a 25% discount;
  • automatic paid renewal.

This is not a Founder-specific reward.

The Founder identity remains after the complimentary Member period ends.

When the twelve-month entitlement ends, the Dentist becomes Free unless another valid Member entitlement is active.

12. Dentist Referral Member rewards

Under the current Dentist Referral program:

  • a valid referral reward is created only after the referred Dentist reaches the required first real paid Member conversion;
  • each valid converted Dentist Referral grants +1 month Member;
  • Referral rewards do not create or revive Pro;
  • the maximum Dentist Referral reward is 12 Member months within a rolling 12-month period.

Referral attribution and reward issuance are backend-controlled and subject to anti-abuse review.

DentGather uses a first-party 30-day referral attribution window and does not use device fingerprinting for referral attribution.

13. Student Referral Member rewards after graduation

Student Referral rewards are separate from Dentist Referral rewards.

Current milestone rewards are:

  • 3 qualified Student Referrals → recognition only, no Member months;
  • 10 → 3 months Member;
  • 25 → 6 months Member;
  • 50 → 9 months Member;
  • 100 → 12 months Member.

These rewards are non-additive.

The maximum reward is 12 months Member.

The earned entitlement activates only after:

1. the Student transitions to Dentist;

2. Student Access ends through graduation;

3. Dentist Verification succeeds.

Ending complimentary Student Referral Member time does not automatically start a paid subscription.

14. Multiple Member entitlements

DentGather may need to track paid and complimentary Member entitlements separately.

The product must preserve any valid Member entitlement.

These Terms do not create a rule allowing DentGather to erase valid earned or complimentary Member time merely because a paid subscription also exists.

Where paid and complimentary Member entitlements overlap, DentGather will apply them consistently and show the resulting access period and billing status transparently in the user's account.

15. Payment provider

DentGather intends to use Stripe to process eligible subscription payments.

DentGather GmbH remains the seller and contracting party unless the checkout expressly states a different legally approved structure.

Stripe may process payment and billing data under its own applicable terms and privacy information.

DentGather does not intend to store full payment-card credentials directly.

16. Failed, reversed or disputed payments

If a Membership payment:

  • fails;
  • is reversed;
  • is refunded;
  • is charged back;

the corresponding paid entitlement may end or change according to the actual payment and entitlement state.

DentGather may temporarily restrict relevant paid access while a payment dispute is being resolved.

A Membership payment reversal does not automatically undo legitimate historical activity that already occurred under a valid prior entitlement.

17. Downgrade to Free

When a Member entitlement ends and no other Member entitlement is active:

  • the Dentist returns to Free;
  • existing account/profile history is retained according to the product and Privacy Notice;
  • existing Passport and eligible Certificate history is not erased merely because of downgrade;
  • Member-only actions become unavailable according to the current permissions.

Existing confirmed activity may continue where the specific activity rules expressly allow continuity despite later Membership expiry.

18. Changes to price or subscription terms

DentGather may change future Membership pricing or subscription terms only prospectively and subject to:

  • clear notice where required;
  • applicable contract/consumer law;
  • any required renewed acceptance;
  • no retroactive removal of an already-paid entitlement.

No current price change is created by these Terms.

19. Account deletion

Deleting a DentGather account is separate from cancelling a subscription.

Before effective account deletion, applicable subscription handling must be completed through the deletion workflow.

Financial, accounting, dispute and legal records may be retained as described in the Privacy Notice.

20. Priority of mandatory law

Nothing in these Membership Terms excludes:

  • mandatory consumer rights;
  • mandatory refund rights;
  • mandatory payment protections;
  • other non-waivable rights that apply to a particular user or transaction.

Credit / Wallet Terms

Last updated: 28 September 2026

Contents

Important pre-activation notice

Public Credit sales are not currently available.

Purchased Credits will only be sold publicly after external financial-regulatory review for Switzerland and the relevant international regions has been completed.

Until that review is complete:

  • public Credit purchase remains unavailable;
  • nothing in this document represents a final legal conclusion that Credits fall outside payment-services, e-money, stored-value or similar regulation.

1. Scope

These Credit / Wallet Terms govern the current intended DentGather Dentist Credit system.

They supplement:

They do not govern fiat payments between Dentists because DentGather does not provide dentist-to-dentist cash settlement for Professional Exchanges.

2. What DentGather Credits are intended to be

Under the current product model:

  • Credits are internal DentGather platform value;
  • Credits are not intended as cash;
  • Credits do not have a guaranteed fixed CHF redemption value;
  • Credits cannot be cashed out through DentGather;
  • Credits cannot be freely transferred from one Dentist to another outside eligible DentGather activity settlement;
  • DentGather does not provide a general “Send Credits” feature.

Different Credit packs may have different effective CHF-per-Credit purchase prices.

No statement in these Terms is intended to override a regulatory classification imposed by applicable law.

3. Eligibility

Free Dentist

A Free Dentist may retain and view an existing Wallet/history where applicable but cannot:

  • buy Credits;
  • spend Credits;
  • reserve Credits.

Member Dentist

A Dentist with any valid active Member entitlement may spend and reserve eligible Credits where:

  • the relevant feature is available;
  • no Finance Review hold blocks spending.

Public purchase of Credit packs is not currently available pending the required financial-regulatory review.

Dental Student

Dental Students do not participate in the standard Dentist Credit economy in V1.

Student Observership is 0 Credits.

4. Credit sources

The Wallet may distinguish:

Welcome Credits

Every Dentist receives a one-time grant of exactly 3 Welcome Credits when both of the following have occurred for the first time:

  • Dentist Verification is successfully completed; and
  • the Dentist has a valid active Member entitlement.

The grant is order-independent and occurs exactly once per Dentist account lifetime.

Welcome Credits:

  • are not Purchased Credits;
  • are not Earned Host Credits;
  • are not legacy Pro Credits;
  • cannot be bought;
  • cannot be cashed out;
  • cannot be transferred through a general P2P Send Credits function;
  • do not expire solely because time passes;
  • may be spent/reserved only while the Dentist is otherwise eligible to use Credits;
  • remain subject to Finance Review holds and the current account-deletion rule.

Dental Students and Organizer-only accounts do not receive Welcome Credits.

Purchased Credits

Credits acquired from DentGather through an eligible Credit purchase after public Credit sales are legally activated.

Earned Credits

Credits received by a Host following an eligible settlement of a DentGather Professional Exchange.

Legacy Credits

Historical Pro-derived Credits that remain for compatibility where they already exist.

No new Pro Credit grants are created.

5. Credit packs

Public Credit sales are not currently available and remain unavailable until the required financial-regulatory review is cleared. Until then, Credit packs cannot be purchased.

The intended Credit packs are:

  • 10 Credits — CHF 119
  • 25 Credits — CHF 249
  • 50 Credits — CHF 449
  • 100 Credits — CHF 799

Applicable taxes and the final amount charged must be shown at checkout.

Credit pack pricing does not create a guaranteed CHF redemption value for an individual Credit.

6. No time-based expiry

Under the current product rule:

  • Welcome Credits;
  • Purchased Credits;
  • Earned Credits;
  • already-granted legacy Credits

do not expire merely because time passes.

Other specific lifecycle events, including account deletion, may affect Credits as described below.

7. Wallet and ledger integrity

DentGather maintains Wallet history through a controlled ledger.

Wallet rules include:

  • balances must not become negative;
  • reservations must be atomic;
  • concurrent actions must not allow overspending;
  • Wallet history is append-only;
  • corrections use compensating entries rather than silently rewriting history;
  • settlement/refund actions are idempotent where technically applicable.

The user-facing balance is derived from the controlled ledger/state.

8. Professional Exchange Credit prices

The current Professional Exchange Credit values are:

  • Free Professional Exchange — 0 Credits
  • Practice Visit — 8 Credits
  • Half-Day Hospitation — 15 Credits
  • Full-Day Hospitation — 25 Credits
  • Advanced Clinical Exchange — 40 Credits

A Free Professional Exchange still requires the applicable Member + Verified Dentist eligibility. “0 Credits” does not mean Free Membership access.

For eligible completed Credit-based Exchanges, DentGather does not take a Credit commission from the Host settlement under the current product rule.

The Host receives the eligible settlement as Earned Credits.

Availability: Credit-based Professional Exchanges (8/15/25/40 Credits) are not currently available and will only become available after Credit regulatory clearance and the applicable professional/liability review are complete. The 0-Credit Free Professional Exchange is not affected by this restriction and remains subject to its normal Member + Verified Dentist requirements and any other applicable legal or availability requirements.

9. Reservation

For a Credit-based Professional Exchange:

  • the applicable Credits are reserved as part of the request/booking flow;
  • reserved Credits cannot be spent elsewhere while the reservation is active;
  • date negotiation/rescheduling of the same booking keeps the same reservation and price snapshot;
  • a reschedule does not itself create a cancellation penalty.

Reservation does not mean the Host has already earned the Credits.

Settlement follows completion, cancellation, no-show and dispute rules.

10. Exchange completion and settlement

Where both Host and Guest validly confirm completion, the eligible settlement may occur according to the booking rules.

Where completion is not mutually confirmed but no dispute/no-show remains open:

  • the dispute window runs through 48 hours after the scheduled end;
  • automatic completion/settlement may occur no earlier than scheduled end +49 hours, after the dispute window has closed.

A Credit-based dispute freezes the relevant reservation pending review.

The 0-Credit Free Professional Exchange can still be reviewed even though there is no Credit settlement.

11. Professional Exchange cancellation

Current Credit cancellation rules:

Host cancels

100% of the reserved Credits return to the Guest.

Guest cancels more than 72 hours before the confirmed start

100% return to the Guest.

Guest cancels from exactly 72 hours before the start through exactly 24 hours before the start

50% Guest / 50% Host.

If the Credit amount is odd, the split is rounded in the Guest's favor.

Guest cancels less than 24 hours before the confirmed start

100% to the Host.

Timing uses the confirmed scheduled start and stored Exchange-location timezone.

Mutual rescheduling does not itself trigger these cancellation rules.

15. Chargebacks and purchase reversals

If a payment for Purchased Credits is refunded, reversed or charged back:

  • DentGather reverses only Purchased Credits that are still available;
  • the Wallet must not become negative;
  • if the amount that should be reversed exceeds the available Purchased Credits, DentGather records the shortfall;
  • the Wallet enters a Finance Review hold.

While the Finance Review hold is active:

  • Credit spending is blocked;
  • Credit reservation is blocked;
  • receiving or purchasing Credits may continue if the product permits;
  • receiving/purchasing new Credits does not automatically clear the hold;
  • only authorized Finance/Super Admin review can resolve the hold.

The payment reference and reversal history remain auditable.

16. Disputes

Where an eligible activity is disputed:

  • relevant reserved Credits may be frozen;
  • the Credits are not settled while the dispute remains unresolved;
  • authorized DentGather review determines the platform Credit settlement according to the applicable activity rules.

DentGather's Credit dispute process does not decide external professional negligence, patient injury or other claims outside the platform's Credit/activity rules.

17. Account deletion

Under the current rules:

  • you may use available Credits before account deletion becomes effective, subject to ordinary eligibility and any Finance Review hold;
  • any Credits remaining when account deletion becomes effective expire/are forfeited;
  • DentGather does not automatically convert remaining Credits into cash solely because the user deletes the account.

This rule applies to remaining Credit balance under the current product model but is subject to mandatory law and external financial-regulatory review, particularly for Purchased Credits.

18. Membership downgrade

If an active Member entitlement ends:

  • the Wallet/history may remain visible;
  • existing Credits are not deleted merely because of downgrade;
  • Free cannot buy, spend or reserve Dentist Credits;
  • Credits remain stored subject to the applicable account/deletion/legal rules.

A later valid Member entitlement can restore eligible Credit use unless another restriction applies.

19. No cash redemption or P2P payment

DentGather does not currently permit:

  • cash redemption of Credits;
  • payout of Earned Credits to a Dentist;
  • transfer of Credits to another user through a general Send Credits function;
  • direct dentist-to-dentist fiat payment for a Professional Exchange through DentGather.

A Host receiving Earned Credits is receiving DentGather internal platform value under the current product model.

20. Refunds of unused Purchased Credits

These Terms do not establish a universal standalone refund rule for unused Purchased Credits.

When Credit sales are activated, refund rights and the treatment of unused Purchased Credits are governed by applicable law and the terms shown at the time of purchase.

Nothing in these Terms creates a right for DentGather to disregard a mandatory refund or withdrawal right.

Nothing in these Terms creates an automatic cash-out right.

21. Fraud and misuse

DentGather may restrict Credit use and review activity where there is a reasonable indication of:

  • payment fraud;
  • chargeback abuse;
  • artificial Exchange activity;
  • collusive Credit circulation;
  • manipulation of cancellation/no-show flows;
  • account compromise;
  • unauthorized ledger access;
  • circumvention of Finance Review restrictions.

Risk indicators trigger review. Significant adverse account enforcement remains subject to the applicable moderation/review rules.

22. Errors and corrections

If DentGather identifies a Wallet or ledger error:

  • it may correct the error using an auditable compensating entry;
  • it should not silently overwrite historical ledger facts;
  • users may challenge an incorrect entry through support/dispute procedures.

23. Taxes and accounting

Credit purchases, Earned Credits and activity settlements may have tax, accounting or regulatory consequences depending on jurisdiction and legal classification.

DentGather does not provide individual tax advice to users.

The final accounting, VAT and regulatory treatment of Credits must be established before public Credit sale.

24. Changes to Credit rules

No material change to Credit pricing, expiry, cashability, transferability, cancellation or settlement rules may be inferred from these Terms unless DentGather has actually adopted that change through the applicable product/governance process.

Where a future legal requirement conflicts with a current Credit rule, DentGather will resolve the conflict before the affected change is implemented.

Professional Exchange Terms

Last updated: 28 September 2026

Contents

1. Scope

These Professional Exchange Terms govern Dentist-to-Dentist Professional Exchanges arranged through DentGather.

They supplement the DentGather Terms of Service, Membership Terms and, where Credits are legally activated, the Credit / Wallet Terms.

A Professional Exchange is a professional networking and learning activity. It is not employment, patient referral, locum placement, a clinical-services contract, or authorization to practise dentistry.

2. Eligibility

To request or host a standard Dentist Professional Exchange, the user must have:

  • an eligible Dentist account;
  • successful Dentist Verification;
  • an active Member entitlement;
  • any additional product-specific eligibility required by the relevant Exchange type.

A Free Dentist may not bypass Member requirements merely by holding Credits.

Exactly one registered Guest is associated with each Dentist Professional Exchange booking.

3. Host availability and date requests

DentGather does not use a mandatory day-by-day Host availability calendar for Professional Exchanges.

A Host may indicate general willingness to offer an Exchange.

The Guest proposes a date or date range through the request flow.

The Host may:

  • accept;
  • decline;
  • propose an alternative date.

The Guest may accept, decline or counter-propose where the product permits it.

A mutually agreed reschedule remains the same booking unless the product explicitly creates a new booking.

4. Exchange types and Credit values

Current types:

  • Free Professional Exchange — 0 Credits
  • Practice Visit — 8 Credits
  • Half-Day Hospitation — 15 Credits
  • Full-Day Hospitation — 25 Credits
  • Advanced Clinical Exchange — 40 Credits

Where Credits are required, the applicable value is reserved under the Credit / Wallet Terms.

A 0-Credit Exchange remains Member + Verified only. “0 Credits” does not mean Free Membership access.

5. No patient treatment through DentGather

A Guest does not treat patients through a DentGather Professional Exchange.

For an Advanced Clinical Exchange, a Guest may, where the Host permits and local law allows:

  • observe specialized procedures or surgery;
  • participate in diagnostic discussion;
  • participate in treatment-planning discussion;
  • participate in digital setup or workflow discussion;
  • participate in other non-treatment professional-learning steps.

The Guest must not independently assume clinical responsibility for a patient through the DentGather Exchange.

The Host remains responsible for patient care.

6. Host responsibilities

Before accepting an Exchange, the Host confirms that the Host practice is responsible for ensuring that the Exchange may lawfully take place, including any applicable:

  • professional regulation;
  • patient confidentiality;
  • patient privacy;
  • patient consent;
  • supervision;
  • practice access;
  • infection-control;
  • workplace/practice rules;
  • insurance requirements.

The Host determines what the Guest may observe or participate in within the non-treatment boundary.

DentGather does not override local professional law or practice governance.

7. Guest responsibilities

Before participating, the Guest confirms that the Guest is responsible for:

  • maintaining any insurance coverage required by applicable law and appropriate for participation;
  • following Host practice instructions;
  • complying with confidentiality and patient-privacy requirements;
  • remaining within the role permitted by the Host and applicable law;
  • complying with applicable travel/entry/visa/work-permission rules where relevant.

DentGather does not provide professional-liability, accident, travel, medical or other participant insurance.

8. Patient information

DentGather is not a patient-record transfer system.

Hosts and Guests must not use ordinary DentGather Chat to transmit identifiable patient records, patient names, identifiable X-rays or other identifiable patient health information.

Any patient-related discussion at the Host practice remains subject to the Host's local legal and professional responsibilities.

9. Credit reservation

For a Credit-based Exchange, Credits are reserved through the Wallet according to the Credit / Wallet Terms.

Reserved Credits are not Host earnings until settlement.

Rescheduling the same accepted booking does not itself create a new reservation or new price.

10. Cancellation

Host cancellation

100% of the reserved Credits return to the Guest.

Guest cancellation more than 72 hours before the confirmed start

100% return to the Guest.

Guest cancellation from exactly 72 hours before the confirmed start through exactly 24 hours before the confirmed start

50% to Guest and 50% to Host.

If the Credit amount is odd, the split favors the Guest.

Guest cancellation less than 24 hours before the confirmed start

100% to the Host.

Timing is based on the confirmed start time and stored Exchange-location timezone.

Mutual rescheduling does not itself trigger a cancellation penalty.

11. No-shows and disputes

A reported no-show or other Exchange issue may enter the DentGather dispute/review process.

The relevant Credit reservation may remain frozen while the dispute is open.

DentGather's review determines only the platform activity/Credit outcome under these Terms. It does not adjudicate external malpractice, patient injury, employment, immigration or other professional legal claims.

12. Completion

An Exchange may complete when both Host and Guest validly confirm completion.

If no dispute/no-show remains open, automatic completion may occur only after the 48-hour dispute window has closed and no earlier than scheduled end +49 hours.

For an eligible Credit-based completed Exchange, the Host receives the applicable settlement as Earned Credits.

DentGather does not take a Credit commission from the Host under the current product model.

13. Passport and Certificate

A reliably completed eligible Professional Exchange may create:

  • an authoritative Passport activity;
  • an eligible private owner-only DentGather Certificate.

The Certificate confirms the DentGather activity only.

It does not constitute:

  • CE/CPD accreditation;
  • licensure;
  • specialist recognition;
  • proof of clinical competence;
  • authorization to practise.

14. Membership changes

If Membership expires after an already valid confirmed booking, DentGather may keep the booking Chat and transaction functionality available as necessary to complete that booking lifecycle.

A later downgrade does not retroactively invalidate legitimate completed Exchange history.

15. Conduct

Host and Guest must act professionally and may not use an Exchange to:

  • arrange unauthorized patient treatment;
  • obtain confidential patient data beyond lawful Host-controlled access;
  • circumvent licensing or immigration law;
  • harass or exploit another participant;
  • manipulate Credit settlement;
  • falsely confirm completion.

16. No outcome guarantee

DentGather does not guarantee:

  • Host acceptance;
  • professional compatibility;
  • clinical-learning quality;
  • travel or visa access;
  • business opportunities;
  • employment;
  • patient referrals;
  • accreditation;
  • a particular educational outcome.

17. International activation

Professional and observational access rules vary by country.

Before DentGather actively offers Professional Exchanges in a new jurisdiction, DentGather may restrict or gate the feature pending local professional-regulation, liability and insurance review.

Dental Student Terms

Last updated: 28 September 2026

Contents

1. Scope

These Student Terms govern DentGather V1 access for verified Dental Students.

Student Access is separate from Dentist Membership.

2. Eligibility

A Dental Student must:

  • be at least 18 years old;
  • maintain a legitimate Dental Student account;
  • provide accurate information;
  • successfully complete Student Verification;
  • comply with these Terms and the DentGather Terms of Service.

V1 does not support minor Student accounts or parental-consent accounts.

3. Student Verification

Student Verification requires current enrolment/immatriculation evidence and manual DentGather review.

Student Verification must be renewed annually.

Verification evidence is private and scheduled for deletion 24 hours after completed review under the Privacy Notice.

Verified Student status confirms current Student eligibility only.

It does not establish:

  • Dentist licensure;
  • authorization to practise dentistry;
  • clinical competence;
  • specialist status.

4. Student Access

Verified Dental Students receive Student Access free of charge in V1.

Student Access is not:

  • Dentist Free;
  • Dentist Member;
  • a fourth Dentist Membership tier;
  • a paid Student subscription.

No paid Student Membership is defined in V1.

5. Student permissions

Subject to current product permissions, a verified Student with active Student Access may use eligible:

  • Dentist Profile discovery;
  • Discover / Map;
  • Travel;
  • Connections;
  • authorized Chat after the applicable connection/activity permission;
  • Events;
  • eligible Network Dinners;
  • eligible General Dentist Meetups;
  • Student Observerships;
  • Passport;
  • eligible private participation Certificates.

Student access does not grant direct Event publishing rights.

7. Student Observership

A Student Observership is observation and learning only.

The Student:

  • does not independently treat patients;
  • does not assume independent clinical responsibility;
  • must follow Host instructions;
  • must comply with patient privacy/confidentiality rules;
  • must remain within the role permitted by applicable law and the Host practice.

The Host Dentist must explicitly permit Student participation through the current “Open to Dental Students” setting.

There is no mandatory day-by-day Student Observership Host availability calendar.

The Student proposes the requested date/date range.

8. Students cannot host Dentist Exchanges

Dental Students may not host standard Dentist Professional Exchanges.

Student Verification does not grant Host rights reserved for verified Dentists.

9. Network Dinners

Where a Dentist Host explicitly allows Students:

  • Student may request/join according to the normal approval/waitlist flow;
  • Student may participate in the eligible Dinner group Chat;
  • Student cannot create/host a Network Dinner in V1.

The default may remain Dentists only unless the Host enables Student participation.

10. General Dentist Meetups

Where the Meetup permits Student participation:

  • Student may request/join;
  • Student cannot host an ordinary Dentist Meetup in V1;
  • confirmed eligible attendance may create Student Passport history and a private participation Certificate.

11. Sponsored activities

A Student may participate in a Sponsored Network Dinner or Sponsored Meetup only where that specific sponsored activity explicitly allows Student Access.

Student participation does not grant Sponsor marketing consent or private contact-data export.

12. Events

Students may, where current permissions allow:

  • view/search Events;
  • save Events;
  • select “I'm attending” as planning intent;
  • use eligible attendee discovery;
  • use normal Connection functionality;
  • use relevant Travel/Event discovery.

“I'm attending” is not proof of attendance.

Ordinary external Event attendance does not generate a DentGather Certificate.

13. Passport and Certificates

Eligible authoritative Student activity may create Passport history, including:

  • completed Student Observership;
  • confirmed eligible Dinner attendance;
  • confirmed eligible Meetup attendance;
  • other activity later explicitly approved in the product.

Travel Windows and Connections alone do not create Passport history.

A completed, reliably confirmed Student Observership may generate:

Certificate of Participation — Student Observership

The Certificate is owner-only and does not imply CE/CPD, Dentist licensure, specialist status, competence or regulatory recognition.

14. Student Referral program

An eligible Student Referrer must be:

  • Verified Student;
  • active Student Access.

A referred Student becomes qualified only after:

  • required Student profile completion; and
  • successful Student Verification.

Current milestones (Qualified Student Referrals — Recognition — Member Reward After Graduation):

  • 3 — Campus Connector — no Member reward
  • 10 — Student Ambassador — 3 months Member
  • 25 — Global Student Ambassador — 6 months Member
  • 50 — Student Community Leader — 9 months Member
  • 100 — DentGather Global Student Leader — 12 months Member

Rules:

  • rewards are non-additive;
  • maximum reward = 12 Member months;
  • count may continue above 100;
  • badges do not grant additional permissions;
  • reward activates only after graduation transition + Student Access end + successful Dentist Verification;
  • reward grants Member, never Pro;
  • complimentary reward does not automatically convert to paid Membership;
  • after graduation, new referrals use Dentist Referral rules.

Student referrals use the current 30-day first-party attribution principle and no device fingerprinting.

15. Graduation transition

DentGather preserves the existing account.

The intended transition is:

Dental Student → Dentist

rather than creating a new account.

Legitimate history may be retained, including:

  • Connections;
  • Chats;
  • Passport;
  • Certificates;
  • Events;
  • Travel;
  • Student Observerships;
  • Referral history.

When Student Access ends through graduation, the account becomes:

Dentist · Free

unless another valid Dentist Member entitlement is active.

Verified Student status does not automatically become Dentist Verification.

The user must complete the applicable Dentist Verification before accessing Verified-Dentist-only functions.

16. Academic / professional responsibility

DentGather Student Access does not replace:

  • university rules;
  • clinical placement rules;
  • local professional rules;
  • patient-consent requirements;
  • supervision requirements.

DentGather does not grant academic credit, CE/CPD or professional licensure merely because a Student participates in a DentGather activity.

17. Student conduct

Students must not:

  • falsely present themselves as licensed Dentists;
  • independently treat patients through DentGather;
  • misuse patient information;
  • host restricted Dentist activities;
  • falsify enrolment or attendance.

Organizer Terms

Last updated: 28 September 2026

Contents

1. Scope

These Organizer Terms govern Approved Organizer / Company access to DentGather's B2B Organizer system.

They supplement the DentGather Terms of Service.

Campaign, Featured Event and Sponsored Experience purchases are additionally governed by the Sponsor / Campaign Terms.

2. Separate Organizer role

Organizer access is separate from Dentist Membership.

Organizer Membership does not automatically grant:

  • Dentist Member rights;
  • unrestricted Dentist Profile access;
  • unrestricted private messaging to Dentists.

3. Organizer approval

Before direct publishing/commercial Organizer rights become active, the Organizer / Company must be approved by DentGather.

Current verification/approval baseline may include:

  • company/organization name;
  • official website;
  • business email;
  • responsible contact person;
  • additional corporate evidence where DentGather reasonably needs it.

DentGather may approve, reject, suspend or request additional information.

Approval and Organizer Membership are separate requirements.

4. Organizer Membership

Regular price:

CHF 690 per year

An active paid Organizer Membership:

  • is annual;
  • auto-renews annually until cancelled;
  • gives access to the Organizer B2B system subject to continued approval.

Organizer Membership includes:

  • Organizer / Company identity and dashboard;
  • publishing/managing eligible Events;
  • access to purchase Featured Event activations;
  • access to purchase eligible Event Campaigns;
  • ability to create/manage eligible Sponsored Network Dinners;
  • ability to create/manage eligible Sponsored Meetups;
  • basic Event/Campaign/Sponsored Experience analytics;
  • 1 Standard Event Listing per Membership year included.

It does not include unlimited Event Listings, Campaigns or Sponsored Experiences.

5. Cancellation of paid Organizer Membership

A paid Organizer may cancel at any time.

Unless mandatory law, payment error or an approved exception requires otherwise:

  • cancellation stops the next annual renewal;
  • access continues through the end of the already-paid annual term;
  • no prorated refund is provided merely because the Organizer cancels before term end.

6. Organizer Launch Program

During the active Organizer Launch Program:

  • Approved Organizer Membership receives a 100% promotional discount;
  • Launch Organizer Membership price = CHF 0;
  • each normal Approved Organizer/Company may receive a maximum of 5 complimentary Standard Event Listings.

The Launch Program ends only when DentGather's Owner/admin activates the configured sunset.

There is no fixed sunset date or Organizer-count trigger unless later expressly set.

Ending the free Launch Program does not automatically convert a free Organizer into a paid CHF 690 subscription.

A paid subscription starts only after the Organizer actively accepts paid billing terms.

7. Complimentary Launch listings

A complimentary Standard Event Listing is consumed only when the Event is successfully Published.

  • Draft does not consume a slot.
  • Rejected does not consume a slot.
  • Published consumes one slot.
  • deleting/withdrawing a previously Published Event does not restore the slot.
  • Admin may grant an auditable strategic override.

8. Standard Event Listing

Regular additional Standard Event Listing price:

CHF 149 per Event

A Standard Event Listing provides normal eligible presence in:

  • Event Calendar;
  • Event Detail;
  • Discover;
  • relevant city/date/location discovery;
  • Travel Mode Event discovery where applicable.

A Standard Listing is not a Campaign and does not include defined audience targeting.

9. Event accuracy and rights

Organizer is responsible for providing accurate Event information, including where relevant:

  • title;
  • organizer identity;
  • date/time;
  • venue/location;
  • official registration destination;
  • Event description;
  • permitted media/content.

Organizer confirms it has the rights to submit the content.

DentGather may edit formatting, request corrections, reject, suspend or unpublish a listing that is inaccurate, unlawful, misleading or inconsistent with platform rules.

10. External ticketing

For ordinary third-party Events, DentGather does not currently act as the Event ticket seller.

The Organizer remains responsible for:

  • ticket sales;
  • ticket terms;
  • Event-ticket refunds;
  • Event-ticket cancellations;
  • ticket inventory;
  • Event delivery.

DentGather may link users to the Organizer's official registration destination.

11. Organizer messaging and member data

Organizer Membership does not grant unrestricted Organizer-to-Dentist direct messaging.

Organizer communication is limited to product-authorized contexts, such as an activity-linked sponsored group Chat.

Organizer must not use DentGather to scrape or export private Dentist data.

Participation in an Event or Sponsored Experience does not itself create marketing consent.

12. Analytics

Organizer may receive eligible platform analytics such as aggregate:

  • impressions;
  • unique reach;
  • Event-detail views;
  • Saves;
  • attending-intent actions;
  • official registration-link clicks;
  • CTR.

DentGather does not automatically provide:

  • private Dentist email addresses;
  • private phone numbers;
  • unrestricted profiles;
  • exportable participant marketing lists;
  • automatic external marketing consent.

13. Commercial one-off products and refunds

For one-off commercial products such as Standard Listings, Featured Events, Campaigns and Sponsored Experiences:

If DentGather rejects the product/order or cannot provide the purchased product

DentGather provides a full refund of the relevant DentGather commercial fee.

If the product has already been approved and activated

Organizer cancellation is generally non-refundable, except where:

  • mandatory law requires otherwise;
  • DentGather caused a qualifying payment/service error;
  • DentGather approves an exception.

Before activation

DentGather may provide a full or partial refund at its discretion, subject to mandatory law.

The Sponsor / Campaign Terms provide product-specific operational rules.

14. Taxes

Prices are subject to applicable tax treatment.

Organizer is responsible for providing correct business and VAT/tax information where requested.

DentGather will issue invoices and apply VAT/reverse-charge treatment according to the final launch-country tax configuration.

15. Suspension / loss of approval

DentGather may suspend Organizer rights where:

  • company information is false;
  • material Event information is misleading;
  • payment is materially delinquent/reversed;
  • the Organizer misuses member data;
  • sponsored labelling is circumvented;
  • the Organizer violates these Terms or applicable law.

Suspension of approval may restrict direct publishing even if a commercial entitlement would otherwise exist.

16. No guaranteed result

Organizer products do not guarantee:

  • Event registrations;
  • minimum attendees;
  • sales;
  • leads;
  • impressions beyond any separately contracted guaranteed metric;
  • commercial outcome.

No such guarantee is part of current V1.

Sponsor / Campaign Terms

Last updated: 28 September 2026

Contents

1. Scope

These Sponsor / Campaign Terms govern:

  • Featured Events;
  • Event Campaigns;
  • Sponsored Network Dinners;
  • Sponsored Meetups.

They supplement the DentGather Terms of Service and Organizer Terms.

Only Approved Organizers / Companies with the required active Organizer entitlement may purchase/use these products unless DentGather expressly approves another eligible commercial account structure.

2. Paid-content transparency

Paid visibility or sponsored activity must be clearly distinguishable from ordinary community content.

Depending on the product, labels may include:

  • Sponsored;
  • Promoted;
  • Featured;
  • Hosted by [Company];
  • Sponsored Network Dinner;
  • Sponsored Meetup.

Organizer may not remove or obscure required sponsorship labels.

4. Event-linked Campaigns only

V1 Campaigns must be linked to an eligible Published Event.

Campaigns are not a general brand-advertising product.

Current V1 does not include:

  • standalone general company advertising;
  • product-only advertising unrelated to an Event;
  • general Sponsor/Company public profile advertising;
  • unrestricted annual Industry Partnership advertising.

Those require a separate later decision by DentGather.

5. Campaign duration

Every current Event Campaign type has the same maximum duration:

30 days

The Campaign must end earlier where the underlying Event ends, is cancelled or becomes ineligible/unpublished.

6. Campaign products and prices

Campaign — Regular — Launch:

  • Local Campaign — CHF 390 — CHF 250
  • Country Campaign — CHF 690 — CHF 390
  • Targeted Campaign — CHF 990 — CHF 590
  • Multi-Market Campaign — from CHF 1,490 — from CHF 990
  • Global Campaign — from CHF 2,490 — individual Launch pricing

“From” pricing means the final quote may be higher for greater scope/reach.

No country pricing zone, purchasing-power formula or automatic reach-based price rule is created by these Terms.

7. Campaign scope

Commercial product definitions:

  • Local — one city / defined local region.
  • Country — one country.
  • Targeted — geography plus professional relevance and/or Travel relevance.
  • Multi-Market — multiple countries / defined multi-country region.
  • Global — global eligible DentGather Event audience.

Current privacy activation boundary

Although Travel relevance is part of the commercial product definition, DentGather must not use an individual member's personal Travel Window or Current Location for advertising/Campaign targeting until the separate privacy/lawful-basis review for that processing has been approved and activated.

A member's networking visibility setting is not advertising consent.

Campaign delivery must therefore use only currently approved signals.

This legal gate does not create a new Campaign product or change current Campaign pricing.

8. Eligible placements

Campaign/Featured visibility may appear in eligible contextual areas such as:

  • Home;
  • Discover;
  • Event Calendar;
  • Travel/city Event discovery;
  • location/relevant Event recommendations.

Campaign advertising must not be placed as standard advertising inside:

  • private Dentist Profiles;
  • private Chat;
  • Passport.

9. Campaign analytics

Eligible analytics may include aggregate:

  • impressions;
  • unique Dentists reached;
  • Event-detail views;
  • Saves;
  • “I'm attending” actions;
  • official registration-link clicks;
  • CTR.

Organizer/Sponsor does not automatically receive:

  • participant private email;
  • participant private phone;
  • unrestricted Dentist profiles;
  • exportable attendee/contact lists;
  • automatic marketing consent.

Any future user-level analytics/export product requires a separate product/legal decision.

10. No outcome guarantee

Campaigns do not guarantee:

  • minimum Event registrations;
  • minimum attendees;
  • minimum sales;
  • patient acquisition;
  • business leads;
  • a particular commercial outcome.

DentGather does not guarantee a precise ranking or impression count unless a later written product expressly provides a guaranteed metric.

11. Sponsored Network Dinner

Current price:

  • Regular: CHF 1,490
  • Launch: CHF 590

Requirements:

  • Approved Organizer / Company;
  • active Organizer Membership;
  • DentGather Admin approval;
  • clear Sponsored / Hosted by [Company] label.

Current activity rules:

  • eligible Dentist attendees = Member Dentists;
  • eligible Students only where the specific activity explicitly allows Student Access;
  • capacity = 3–12 including the Organizer/Host;
  • Organizer/Company acts as Host;
  • Join Request / approval / Waitlist applies;
  • confirmed participants may receive the activity group Chat;

Confirmed attendance returns the reservation under the normal Dinner rule.

Confirmed no-show handling follows the normal Dinner reservation/objection rule.

12. Sponsored Network Dinner Passport / Certificate

Join Request, Waitlist or Confirmed Seat alone do not prove attendance.

Organizer confirms actual attendance.

Only Attendance Confirmed may create:

  • Sponsored Network Dinner Passport activity;
  • private owner-only Certificate of Participation for the attendee.

Organizer/Company receives no Dentist-style Host Certificate.

Certificates do not represent CE/CPD accreditation, licensure or competence.

13. Sponsored Meetup

Current price:

  • Regular: CHF 990
  • Launch: CHF 390

Requirements:

  • Approved Organizer / Company;
  • active Organizer Membership;
  • DentGather Admin approval;
  • appropriate Sponsored / Hosted by [Company] label.

Current activity rules:

  • eligible Dentist attendees = Member Dentists;
  • eligible Students only where the specific activity explicitly allows Student Access;
  • capacity = 4–30 including the Organizer/Host;
  • Organizer/Company acts as Host;
  • participant approval and simple Waitlist;
  • confirmed participants may receive Meetup group Chat;

14. Sponsored Meetup Passport / Certificate

Only actual Attendance Confirmed may create:

  • Sponsored Meetup Passport activity;
  • private owner-only Certificate of Participation.

Organizer receives no Dentist-style Host Certificate.

15. Optional minimum-participant threshold

An eligible Sponsored Network Dinner or Sponsored Meetup may optionally have:

  • minimum confirmed participants;
  • minimum-participant deadline.

The Organizer chooses the deadline.

There is no universal 48-hour threshold deadline.

If enabled:

  • minimum must be at least 2 and cannot exceed capacity;
  • deadline must be set before activity start;
  • once threshold processing occurs, the outcome is locked;
  • ordinary community Dinner/Meetup cannot use this sponsored threshold feature.

Counting uses confirmed + attended guests excluding the Organizer/Host.

At the deadline:

Threshold met

Activity continues.

Threshold missed

The sponsored activity auto-cancels once.

DentGather then:

  • cancels participant states;
  • locks the activity group Chat;
  • notifies Organizer and affected participants;
  • keeps auditable threshold outcome history.

16. Student participation

Student participation in a sponsored activity is never automatic.

The activity must explicitly permit Student Access.

A participating Student:

  • does not become a Dentist Member;
  • does not gain Organizer rights;
  • is subject to Student Terms.

17. Participant data

Organizer/Sponsor may use participant information only as permitted to administer the sponsored activity within DentGather.

Participation does not create external marketing consent.

Organizer/Sponsor must not automatically receive or extract:

  • private email addresses;
  • private phone numbers;
  • unrestricted profiles;
  • exportable marketing lists.

Any separate marketing relationship must have its own lawful basis and product path.

18. One-off commercial refund terms

DentGather rejects/cannot provide

Full refund of the affected DentGather commercial product fee.

Organizer cancels after approval/activation

Generally non-refundable, except mandatory law, payment/service error or DentGather-approved exception.

Organizer cancels before activation

DentGather may provide a full or partial refund at its discretion, subject to mandatory law.

Third-party venue, food, beverage, travel, production or other costs are not included in the DentGather commercial fee unless expressly stated in a separate written agreement.

19. Content / advertising responsibility

Organizer is responsible for ensuring submitted commercial/Event content is:

  • accurate;
  • lawful;
  • supported by necessary rights;
  • not misleading;
  • compliant with professional advertising rules that apply to the Organizer/product.

DentGather may reject, pause or remove a Campaign or sponsored activity that violates law or platform policy.

20. No marketing-data sale

Current Sponsor products do not include sale of member personal data.

Commercial fees purchase eligible platform visibility/activity functionality, not ownership of DentGather member data.
