Privacy Policy
How DentGather collects, uses, stores and protects personal and professional data. Common baseline for Switzerland and the EU/EEA, with regional supplements.
Controller and contact
The controller is the DentGather operating company. This information is supplied by the operating company and published before public launch. Company name, registered address, privacy contact and, where required, EU, UK and Swiss representatives are still outstanding and are published before launch.
Who uses the platform
Dentists, verified dental students with Student Access, and approved event organizers. Professional verification is a separate gate: it is required for Professional Exchange participation and hosting, not for having an account or for ordinary networking.
Categories of personal data
Account and profile data, professional verification data, travel and city-level location data, event, meetup, dinner and professional exchange data, messages, membership and credit records, and technical usage data.
Account and profile data
Name, email, professional status, employment status, practice name, city and country, headline, biography, specialties, languages and profile photo. Full profiles are shown to signed-in Member dentists and to dental students with active Student Access; Free accounts see only a reduced preview without names, photos or practice identity. Private contact details are never shown to other members.
Professional verification data
Professional or enrolment identifiers and uploaded documents. Stored privately and accessible only to you and authorised reviewers through short-lived signed links, never to other members, and deleted 24 hours after a completed review.
Trips and location data
Trips are matched on city, country and date range. Exact coordinates, home addresses and practice street addresses are never exposed to other members through travel or nearby discovery. Trip and nearby visibility can be switched off at any time.
Events, dinners, meetups and professional exchanges
Participation, requests, confirmed bookings, completion status and passport entries. Exact venue and practice addresses are shared only with confirmed participants.
Chats and messages
Message content and participation are visible to the participants. DentGather chat is a professional networking tool and is not intended for identifiable patient data or clinical records. Our team does not browse private messages routinely; access is limited to safety, abuse investigation or legal obligations and is logged.
Organizers and sponsored activities
An approved organizer can see the participant information needed to run their activity inside the platform. There is no automatic export of private email addresses or phone numbers, no unrestricted profile access and no exportable marketing list. Taking part in an activity is not marketing consent.
Membership, credits and payments
Membership state and credit ledger entries are stored in your account. Stripe is connected in TEST/sandbox mode only: no live charges are taken and no card data is stored by DentGather. Billing address and any business tax number entered at checkout are handled by Stripe. This information is supplied by the operating company and published before public launch.
Cookies and analytics
Essential storage keeps sign-in, security and sessions working. Optional analytics and marketing preferences are off by default and can be changed at any time. No third-party analytics or marketing scripts are loaded in this version.
Purposes and legal bases
Outstanding: contract performance, legitimate interests, legal obligations and consent are mapped per processing activity with legal counsel before launch.
Processors and service providers
Outstanding: hosting, database, email, payment and support providers are listed with their roles and locations before launch.
International transfers
Outstanding: the transfer mechanism used for processing outside your region is documented before launch.
Retention
The only fixed retention rule in this version is the deletion of verification documents 24 hours after a completed review. The remaining retention schedule is outstanding. Credit ledger, dispute, passport and certificate provenance and audit records cannot simply be erased on request and are retained or anonymised as required.
Security
Row-level security by default, private storage for verification documents, chat attachments and certificates, encrypted transport, audited admin access and server-side controls for credits and bookings. This describes our measures; it is not a certification or a legal compliance guarantee.
Your rights
Access, correction, deletion, restriction, objection, portability and withdrawal of consent. Regional supplements describe additional rights.
Account deletion and export
Requests are made under Privacy & Data in the app. Each request is recorded with a timestamp and reviewed by our team; nothing is exported or deleted automatically. Deletion may require retention or anonymisation of credit ledger, dispute, passport and certificate provenance, safety and audit records.
Notifications
Notifications are delivered inside the app in this version. No email or push delivery channel is active, and every notification link re-checks your authorisation before showing anything.
